Job Description:

Personnel Responsibilities:

  • Services the UFVH (primary role), CVM administrative offices, and college academic departments’ faculty staff (backup role). Also serves as the liaison between the CVM HR office and the campus HR office.
  • Responsible for completing and reviewing paperwork for personnel transactions. Processes personnel actions via ePAF system: new hires; terminations; department ID changes; salary increase/decrease; reassignments; dual employment; extra state compensation requests; outside employment. This includes data pertaining to TEAMS, CARE, USPS, OPS, Residents, and Student Assistants in the UFVH.
  • Assures that all personnel paperwork is processed in a timely manner, and that all personnel functions are entered into the Peoplesoft system by posted deadlines.
  • Manages and maintains the personnel database and organizational charts for the College and ensures that all information is accurate and current.
  • Coordinates appointments for new employees to get pre-employment physicals, Gator 1 ID, parking decals and benefits appointments.
  • Serves as a backup to other HR staff members as needed or requested.
  • Assists and serves as backup for the VIRMP process for selecting the new incoming resident and intern class annually.
  • Assist the processing of the certificates for completing/outgoing residents and interns.

Fiscal/Payroll Duties:

  • Serves the UFVH in all matters of payroll, time and leave inputting, on-call payments, shift differential, retroactive pay increases, premium pay and time and leave approval. Serves as proxy for supervisors on an individual case-by-case basis.
  • Serves as Payroll Partners administrator.
  • Investigates and troubleshoots time and labor errors in PeopleSoft to ensure employees are paid correctly.
  • Notifies cost center supervisors and employees of errors. Serves as backup approver of time for the UFVH service supervisors in their absences.
  • Assures biweekly pay lists are reviewed and accurate; processes special pay increases, lump-sum payments, moving expenses and position reclassifications.
  • Coordinates the HR combo code distribution process. Also, processes any retroactive distribution changes as necessary.
  • Assist in processing lump sum payments for residents and faculty for emergency call in fees.
  • Assist in processing lump sum payments for professional development fees for second and third year residents.
  • Assist and support maintaining Department of Professional Regulations List.

Leave Duties:

  • Completes annual leave audits for UFVH employees, or date-specific audits as requested by supervisor or administrators.
  • Answers questions and troubleshoots leave discrepancies and questions for departmental employees.
  • Works with Central Leave in making leave adjustments.
  • Processes forms and maintains file for leave pay-outs for departing TEAMs, USPS, CARE and Faculty employees. Ensures timely payment of the above.
  • Assist with employee’s compensatory leave time, and ensures proper usage and/or conversion of this time.
  • Works with UFVH Accounts Receivables office to process the payments of outstanding hospital bills which needs to be deducted from leave payments. Or, if necessary, assists in the final paycheck wage garnishments of any non-compliant hospital clients.

Administrative Responsibilities:

  • Collaborates with CVM nurse with the initial risk assessment paperwork as well as maintaining compliance with the animal contact program.
  • Assist in coordinating the workers’ compensation program within the UFVH. Insures that notice of injuries and incident reports are completed. Ensures that Bite Reports are filled out completely and faxed to the County Health Department.
  • Maintain, create, and/or redesign office procedures related to processes, workflows and/or policies, filing, scanning, record-keeping, use of telephones, use of fax machines, use of e-mail.

Travel:

  • Makes travel arrangements and prepares travel authorization in PeopleSoft for all UFVH residents, faculty, and staff.
  • Uses University of Florida P-Card to pay for airfare, lodging, rental cars, and registrations. Ensures that Accounts Payable office receives all receipts from P-Card transactions.
  • Prepares expense report in PeopleSoft when staff returns. Insures that expense reimbursements are within University guidelines.
  • Acts as a liaison between personnel traveling and outside agencies such as car rental agencies, travel agents, and airlines.

Visas:

  • Coordinate the processing of Visa requirements, in cooperation with UF International Center, before forwarding to U.S. Citizenship and Immigration Services (USCIS).
  • In cooperation with Fragomen attorney offices, process H-1B Visa to employ nonresident aliens temporarily for UFVH qualified positions.
  • Process TN Visa to employ nonresident aliens for UFVH qualified positions.
  • Coordinate the processing of individual’s permanent residency status (Green Card).
Expected Salary:

$19.16 - $23.95

Minimum Requirements:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.

Preferred Qualifications:
  • At least 1 year of UF HR experience is preferred
  • Knowledge of office procedures
  • Knowledge of basic arithmetic and filing practices
  • Knowledge of applicable rules, regulations and University policies and procedures
  • Knowledge of computer based word processing
  • Ability to type letters, memoranda, charts, and other standard business forms in correct format
  • High level of customer service skills
