Job Description:

The Research Administrator I will be in the Office of Educational Research (OER), in the College of Education (COE) to provide support to COE faculty for the purpose of developing and completing contract and/or grant proposals (hereafter refer to as “proposals”) to support faculty to pursue internal and external funding.  The primary duties of the Research Administrator I position require close collaboration with Principal Investigators (PIs) and the OER team. The position will contribute to the shepherding of proposals from  conceptualization to submission, including preparation of the narrative, the budget, and other elements of the proposal; and assist in various other duties as deemed appropriate by the Associate Dean for Research (ADR), the Director of Research, and the Research Administrator(s) at more advanced levels.

The position primarily coordinates pre-award administrative activities for the completion and submission of proposals submitted by COE PIs for small scale funding only (as defined by the ADR). We are looking for an individual who will be able to attend to detail, review and interpret requirements of requests for proposals (RFP) from a variety of public and private sponsors, align with applicable requirements, provide technical writing services for the development of proposals, and engage in the UFIRST proposal submission process.

This position will work in collaboration with COE post-award office in clarifying information needed to set up new awards. The incumbent will support the coordination of reporting requirements for the college, the university, and funding agencies. This position also serves as a liaison between the OER, the UF Research, DSP, and other units related to the proposal submission process.

Planning and preparation of small-scale proposals.

  • In consultation with OER’s advanced Research Administrators
  • Consult with PIs on planning and preparation of proposals internal and external funding with emphasis on the development of the narrative, the budget, and all other supporting documents of the proposal within context of the RFP and support requested by the PI.
  • Communicate with academic units within and outside of the college, and university offices (e.g.,DSP, Contracts and Grants, UF Foundation) on matters related to completion and submission of proposals.
  • Ensure acquisition of signature authority and supporting documents for proposals
  • Assist PIs in restructuring proposed budgets as requested by funding agencies, in collaboration with the OER team, and develop processes to support PIs to prepare proposals in a timely manner and in accordance with RFPs.
  • Assist with the development of ancillary materials and supporting documents (e.g., abbreviated CVs, letters of intent, support letters, etc.) for inclusion in proposals.
  • Prepare and propose editorial input for the proposal, including matters concerning form, style, and format of proposals.
  • Communicate with PI for the program/project to secure and disseminate text for the proposal.
  • Develop and present relevant and timely information about proposal development to the PI.
  • Develop suggested timelines for completion of work; help coordinate work assignments; collaborate with the PI to steer and monitor proposal development progress.
  • Assist with the preparation of reports, applications, and other documents.

Provide Guidance on Funding Agencies and Relevant Compliance

  • In consultation with OER’s advanced Research Administrators,
  • Inform PIs of internal and external policy/guidelines for proposal submission
  • Study, review, analyze and interpret internal and external RFPs, specifically regarding criteria,
    restrictions and requirements stated in the RFP
  • Review proposal budgets relative to conformity with the university regulations, RFPs, and federal cost accounting standards
  • Acquire, maintain, and interpret up-to-date knowledge of funding sources and their submission deadlines
  • Collect information from funding agency and/or personnel from other units
  • Compile, verify, and prepare materials and information to comply with funding agency requirements
  • Keep abreast of laws, regulations, funding agency requirements and emerging conditions relevant to proposal development
  • Advise PIs, administrators, and staff regarding university, state, and federal rules and sponsoring agency guidelines
  • Review/revise proposals with the funding agency’s mission and review criteria in mind and for clarity, logic, significance, innovation, and correct English/formatting according to agency guidelines

Exhibit Professionalism and Collaboration

  • Assist OER Research Administrators during high volume submission cycles
  • Engage in professional development activities within and outside of OER
  • Share accountability for reputation by ensuring quality of the work (e.g., avoid introducing plagiarism and errors to any document, meet deadlines, etc.)
  • Support all operations of OER

Other duties as assigned (e.g., participate in seminars and webinars for faculty, lead team meetings, support overall operation of OER

Expected Salary:

Salary is competitive and commensurate with education and experience.

Minimum Requirements:

Bachelor's degree; or an equivalent combination of education and experience.

Preferred Qualifications:
  • Two years of appropriate and relevant experience
  • Completion of UF RAFT program or similar program
  • Effective interpersonal, collaborative, organizational, and communication skills
  • Master’s degree in a relevant field
  • Ability to provide high quality service to stakeholders
  • Ability to prioritize tasks and meet (multiple) deadlines
  • Competency in Microsoft Word, Excel, Enterprise Reporting and/or UFIRST
  • Experience in the preparation of proposals, reports, and other documents
  • Working knowledge of webpage maintenance/newsletter editing (e.g., WordPress, Mailchimp) and desktop publishing, web design, and citation software (e.g., Endnote)
  • Ability to employ a variety of strategies to meet the writing needs of faculty
  • Ability to research, compile, organize, and synthesize materials obtained from a variety of sources and to present concise information to faculty
  • At least one year of experience in proposal preparation and submission and/or management of grants funded by premier funding agencies (e.g., US Department of Education, National Science Foundation, National Institutes of Health, and Institute of Education Sciences) and to private foundations will be given priority status
  • Presentation and group facilitation skills
