Job Description:

Event Planning and Management:
Responsible for the execution, management, and support of operations for signature events with the MBA program. He/she works under the direction of the Assistant Director to secure locations for events; manage contracts, permits, and negotiate budget; determine technology needs, menus, and décor as necessary; and maintains accurate budgets and collaborates with fiscal personnel for contract review and payment. Additionally, he/she manages the registration and attendance rosters and communicates with students and stakeholders in advance of signature events to confirm agendas and requirements. Under the direction of the Assistant Director, the incumbent will distribute pre and post event assessments and collect feedback. The coordinator will assist with small to large scale off campus constituent events, and at times pivot to virtual and hybrid settings when appropriate. The incumbent will collaborate with other MBA and WCB stakeholders to ensure aligned and co facilitated programs when needed.

Student Communication and Engagement Committee:
Effectively manage follow up communication and distribute key program and event announcements to student engagement committee and cohort representatives. Under direction of Assistant Director, schedule cohort representative and student engagement committee meetings. Assist with onboarding and education of cohort representatives and their duties. Attend scheduled cohort representative meetings, alongside MBA staff, and record conversation points, feedback as a summary of meeting and action items to review.

Contract Management & Event Administration:
Manages the collection of contracts, receipts, invoices, and paperwork as they relate to event expenses and attendance. He/she will track expenditures via appropriate budgets and work with fiscal personnel to process payments via PCard purchases and electronic invoice for billing in an accurate and timely manner. Ensure MBA staff who are staffing external events have all details/logistics and are prepared to assist with the event. Create staffing plan, under the guidance of the Assistant Director.

Event Material & Promotional Item Inventory Management:
He/She will manage the ordering of promotional items for external programs and inventory of event-related supplies and materials. Collaborates with other members of the team to ensure accurate and timely execution of logistics and monitoring inventory. He/she will provide support when needed.

Event Assistance:
Assist with execution of campus engagement events, to include orientation, graduation, and other campus-based programs.

Additional Duties:
Undertake other duties, projects, deliverables, or reports as assigned by the Director of Student Experience. Continuously seek opportunities for improvement and innovation in student affairs and program development.

Expected Salary:

$47,000 - $51,000

Minimum Requirements:

Master’s degree in an appropriate area of specialization; or a bachelor’s degree in an appropriate area of specialization and two years of appropriate experience; or an equivalent combination of education and experience

Preferred Qualifications:

Ideal candidates will have strong written and verbal communication skills and be highly organized with strong event management skills. Candidate will know and perform the duties normally expected of an academic student affairs officer, i.e., advising, program management, and liaison for student and stakeholder communication and concern. He/she will possess strong interpersonal skills, be strategic, tech savvy, and communicate effectively.


Candidate will be expected to serve as a positive force and collaborator within the broader UF MBA team. Candidate will need to understand and navigate all aspects of an academic unit. The effective candidate will proactively seek alliances and partnerships across the UF MBA team to improve macro level strategic outcomes for the UF MBA Program. He/She will seek to find similar partnerships with colleagues throughout the Hough Graduate School of Business and Warrington College of Business. He/She may be called upon to represent the university at professional association meetings or other events.
