Facilities Operations Specialist

Job Description:

- Responsible for regular maintenance operations, security and infrastructure of the EPI Building. Liaisons with EPI leadership, Facilities Services (FS), Environmental Health and Safety (EH&S), Planning, Design and Construction (PD&C) and external contractors to ensure that all research, mechanical, electrical, plumbing, vehicles and security systems are operating within established protocols for both the EPI and Aquatic Pathobiology Lab (APL) buildings housing the EPI offices, labs and mechanical areas. Provides the oversight and management of service contracts dedicated to support the building operations, services, and security systems monitoring (video cameras). Conducts routine inspections and coordinate with FS, EPI staff and EH&S on maintenance/repair of lighting, electrical, plumbing, and fire safety systems within the space. Meet routinely with the facility building committee to exchange information and address issues presented by occupants and/or contractors. Completes assigned work orders pertaining to exterior pressure washing of all buildings and concrete walkways. Negotiates preventative maintenance contracts, requests supplies and equipment quote and submits all Facilities/Security teams requisitions for purchase order creation. Assists with various carpentry and finish carpentry work, including assisting with maintenance and repairs to furniture (chairs, desks, tables, cabinets). Performs interior and exterior repairs and maintenance of EPI buildings, including roofing, windows, doors, floors, partitions of offices, classrooms, and laboratories. Assists other trades, including HVAC, plumbing, and electrical. Drives state vehicle to various work locations.

- Supports EPI Director and ADs in the development of renovation projects of space and/or infrastructure from design through project management.  This would include investigating physical space requirements, drafting floor plan mocks up with new equipment or infrastructure to ensure accessibility, attending design and construction meetings, and supervising/escorting vendors. Coordinates with FS, FDC and EPI users regarding renovation or construction projects. Responsible for preparing bids and specifications needed for renovations or new construction to facilities.   Schedules pre-construction meetings with necessary personnel.  Monitors all phases of renovations and construction projects and budget compliance. 

- Develops and implements policies concerning common area space, building/facility storage, and signage. Develops a plan and manage a calendar/schedule to utilize common-use space, laboratory space, and classroom space for education or special events. Ensure that there are clear policies and procedures to assist occupants to receive shipments through the loading dock area. Coordinate with UF Mail and Document Services and private delivery companies to ensure expeditious delivery of correspondence. Tracks and assigns keys for offices.  Participates in office or lab relocations (and lab closings).  Includes office/room punch out action list (painting, plumbing or other repairs), escort moving vendors, and disposal/recycle of lab contents.  Incumbent will also assist with installation of new lab equipment to ensure proper connections to facility infrastructure.  Maintain all supplies needed PMs, random furniture repairs, and painting for facilities team. 

- Participate with the annual BSL3 lab maintenance shutdown.  Duties include: attending planning meetings, providing escort of vendors, FS, and/or EH&S staff, ordering supplies required for maintenance, and participate in follow up review meetings to provide feedback to improve future shutdowns.

- Serves as one of three contacts for security, HVAC, and other building systems.  Will diagnose alarms and trouble alerts and coordinate with FS and EH&S on responses and remedies.  Serves as the primary contact with UPD for building security alarms and security patrols. Incumbent provides instruction to technicians regarding facility equipment/infrastructure (i.e., biosafety and autoclave units, security hardware. Provides on-call coverage for after hour’s emergencies for the EPI BSL2 and BSL3 labs and facilities.  This includes responding to water leaks, office/lab doors not locking, lab pressure and temperature changes, power outages, and audible alarms (freezers, fire panel, entry doors, etc.).  Primary role is to troubleshoot issue and contact appropriate individuals (FS, PI, or EH&S) to resolve the issue. Acts as Building Emergency Coordinator and develops plans for preparedness, pre- and post-disaster, and continuity of business operations.

- Other duties as assigned, including assisting EPI administration with annual events such as EPI Research Day.

Expected Salary:

Commensurate with Education and Experience.

Minimum Requirements:

Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience; or an equivalent combination of education and experience.

For some positions assigned to this class, special qualifications may be added to the minimum, such as appropriate professional registration or certification.

Preferred Qualifications:

Preferred experience in Construction Management with at least three years of relevant experience in a research, clinical, or pharmaceutical laboratory focused building strongly preferred.
