We are seeking to appoint a permanent, part-time (3.5 days) Student Administration Assistant who will work as a member of the Student Administration team to provide effective support to the wider Student Administration Team.
Educated to GCSE level or NVQ level II in an appropriate subject e.g. Customer Service or Business Administration or possess equivalent experience.

You will have excellent IT skills, communication skills, organizational skills with the ability to meet deadlines, whilst working to a high degree of accuracy and attention to detail. You will have experience of working with online systems and experience of working with database systems.

The ability to speak Welsh confidently to carry out certain tasks is essential for this post e.g speaking to staff and students, answering phone calls, dealing with urgent enquiries in Welsh.

Overview

To provide administrative support within the teams, undertaking a range of routine tasks to meet operational and customer service requirements. Purpose of the Job

To provide administrative support within the teams, undertaking a range of routine tasks to meet operational and customer service requirements. Main Duties and Responsibilities
  • Working closely with other student administration team members, undertake a variety of administration tasks as directed, across a range of locations based on operational requirements.
  • To be an active member of the Student Administration function, building and maintaining good working relationships with other members of the team in order to ensure an understanding of priorities and deadlines.
  • Contribute to the development of, and work to, agreed service standards for the team. Specific Functional duties (dependent on location/Hub).
  • Respond to a range of information requests from internal and external customers (in person, phone, e-mail) answering where able to do so and referring on to the appropriate person(s) as and when necessary in a professional manner (including pre-, registration, student records, etc.).
  • Deal with day- to - day administrative enquiries in an accurate, timely and sensitive manner, escalating more complex issues to the Student Administrator(s)/Teaching Administration Officers.
  • Maintenance of electronic information systems, including data entry, and production of electronic documents for students.
  • Provide support for the processing of coursework.
  • Provide support for University scheduled examinations, and those scheduled within Schools.
  • Provide support for the processing of examination results, including scanning of MCQ tests.
  • Provide support for attendance/engagement monitoring processes.
  • Undertake the processing of a variety of tasks as directed and to agreed timescales; these are likely to be online high volume transactions, or well defined processes/procedures related to course administration, examinations and assessment, or enrolment activity. For example, production of student related documentation (e.g., certificate of registration, etc).
  • Provide support for awards administration, including assisting with the preparation of award documentation to students.
  • Assist with University events such as open days, registration, enrolment, ID checking events and graduation as required.
  • Undertake other such duties commensurate with the grade and at other Bangor University locations as directed by line management.

  • The post holder will be located in a hub which will be expected to deliver a bilingual provision.
  • The post holder will be expected to participate in performance review and developmental activities.

Person Specification

Qualifications/Training

Essential:

 

  • Educated to GCSE level or NVQ level II in an appropriate subject e.g. Customer Service or Business Administration or possess equivalent experience.
  • Experience of working within an office /administrative environment.
  • Proficient in the use of Microsoft Office applications (Word, Excel, Access etc).
  • Proven ability to communicate effectively and professionally with a wide range of people.

 

Desirable:

  • ECDL Qualification.
  • Experience of working with Banner student records system.

 

Experience/Knowledge

Essential

  • Experience of dealing with queries and providing information to individuals.
  • An understanding of academic regulations and procedures.
  • An understanding of legislative requirements relating to equality, data protection and freedom of information.
  • An understanding of information (relevant to area of work).

 

Desirable

  • An understanding of the internal and external factors that may impact on the service.
  • An understanding of the needs of culturally diverse staff and students .
  • Knows when a decision is beyond the roles level of responsibility and when to refer to others.
