Job Description

This role sits within the Programme, Placement & Assessment team within Faculty Education Services in the Faculty of Life, Sciences and Medicine.

This is an exciting new post, that will take a leading operational role in supporting the delivery of MBBS Branch Campus based at the University of Portsmouth. 

The role holder will work closely with the Programme Director and a wide range of stakeholders, both internally and externally;  supporting both students and staff to  help ensure the smooth running the programme. 

They will be responsible for managing the end-to-end programme administration for this specific group of KCL students, ensuring they have an equitable experience to those based in London and that all procedures and policies meet University timelines and regulations and all other statutory compliance obligations.

The role holder must be highly organised, motivated, and capable of working collaboratively with a wide range of stakeholders.

Key responsibilities
  • To take a leading role in supporting the operational delivery of the MBBS Programme at the University of Portsmouth (UoP)
  • To visit students and colleagues at UoP on a regular basis (minimum once a month but more regularly during certain weeks of the year ).
  • To build excellent working relationships with key stakeholders, including; UoP and NHS Trust colleagues.
  • To manage the coordination of all student administration across programmes, from enrolment through to annual progression, clinical placements, attendance monitoring, course completion and subsequent professional registration; ensuring procedures and policies routinely meet University timelines and regulations and all other statutory compliance obligations, such as those of the GMC.
  • To ensure that all KCL policies and processes are in place for KCL students and that relevant stakeholders are aware of the appropriate regulations and where to seek guidance if required.
  • To be aware of the UoP processes to ensure that duality of processes are kept to a minimum
  • Support relevant student related meetings, boards and committees, preparing papers, taking notes/minutes, as required, and organising all aspects of the logistics associated with these.
  • To work collaboratively with colleagues throughout Faculty Education Services to deliver a highly coordinated and prompt approach to issues that may impact the student experience.
  • To be a representative of King’s College London at University of Portsmouth meetings when required, deputising for Associate Director, PPA as needed.  
  • To help ensure that KCL students based at UoP have an equitable experience to those in London despite the differences in location, identifying any gaps or risks and escalating this as appropriate.
  • Manage and coordinate the organisation of events and student engagement activities for MBBS students at UoP, including Welcome Week activities, student conferences, awards events, student-focused seminars, working with student representatives, academic colleagues, the Faculty Communications Office, Faculty Education Services, KCLSU and others.
  • To be fully conversant with university, programme and statutory body regulations in order to provide informed advice and guidance to staff and students. Supporting academic colleagues with specific enquiry and seeking university or external advice where necessary. Proactively identifying and escalating areas of risk to student experience or institutional reputation as appropriate.
  • To work with the Programme, Placement and Assessment team in contributing to the annual operational plan for MBBS, coordinating with UoP colleagues where necessary.
  • To ensure that all students based at UoP are allocated placements and given access to their ePortfolio within the same timeframe as those in London.  Monitoring engagement using these systems.
  • To support any professionalism or fitness to practise concerns in line with KCL Faculty and University policies.
  • To attend all in-person examinations at UoP, to include written exams and OSCEs, to support the smooth running of the events; escalating any risks as required.
  • To ensure marks are returned to the PPA assessment team within agreed timeframes, ready to be presented at the Board.
  • To ensure that any changes to the MBBS programme in London are disseminated to colleagues at UoP and trust in a timely manner.
  • To oversee the production of MBBS UoP specific information on KEATs, ensuring that the students only have sight of information relevant to them. To ensure published programme information is maintained and up to date across all media; working closely with the DET team and academic leads to make sure KEATS information is always accurate and relevant to the students at UoP.
  • To support the Student Experience Manager with investigating MBBS UoP student complaints as appropriate, liaising with relevant colleagues to support a resolution.
  • Supporting the Student Experience Manager with National Student Survey initiatives for final year students, promoting the survey and associated activities as appropriate.

Skills, knowledge, and experience

Essential criteria

  • Evidence of experience of production of a policy, contribution to regulatory review and providing effective procedural systems
  • Experience of undertaking a service or process review and implementing change
  • Able to travel to Portsmouth on a monthly basis (at a minimum)

  • Previous HE experience; with an emphasis on managing across professional  programmes
