The opportunity

The Program Manager role is an integral part of the academic team. A student facing position, the Program Manager provides substantive administrative support for our growing Undergraduate Program.  This position supports all academic aspects of the day-to-day functioning of the Undergraduate Program in London, and in particular the work of the Deans, the Faculty and the Registry.

Duties and Responsibilities

  • To be the main point of contact for assigned faculty to ensure their courses are prepared in time to the standard required, supporting them in their teaching and being responsible for the success of the course.
  • Work with the Program Coordinator and share responsibilities for various activities – in particular sharing ownership of myCourses (online learning management system based on Instructure’s ‘Canvas’ platform).
  • Collaborate with faculty to develop academic projects (such as HBC, HFL, Start-up Challenge, Social Impact Challenge etc.) and student study skill workshops.
  • Work with the Program Director and other Program Managers to support students on academic probation, going/returning from leave of absence, and any student requesting help with a transition to or from the school.
  • Assist the Deanery in handling academic disciplinary issues.
  • Provide clear and consistent management, oversight, and mentorship to students including academic advising.
  • Assist Registry in high-volume periods with basic SIS tasks such as matriculating students as well as with basic Advanced Placement and Transfer Credits.
  • Assist Registry and Deanery with basic student advice on course selection and online registration and providing academic coaching and/or welfare support as required.
  • Assist Deanery and Student Services with orientation, graduation and any other events as appropriate, as well as with student leadership training: H.S.A., etc. This includes preparing and participating in presentations to the different audiences.
  • Assist in arranging faculty conferences and events, both regular events, such as Faculty Meetings/Summits and Dean’s List events, and irregular events, such as accreditation visits.
  • Occasionally participate in weekend Open Houses and similar recruitment events, presenting to prospective students and parents.
  • Manage academic communications for online (myHult), email newsletters, screens and other media.
  • Provide support for all academic services and any other duties as required.

Person specification  

  • Bachelor’s degree (Masters preferred) with significant experience of working in a student facing role.
  • Experience in academic administration preferred.
  • Be skilled with database management (particularly Salesforce) and excellent comprehension of Microsoft packages (particularly Excel).
  • Excellent interpersonal skills and an ability to communicate clearly and professionally with faculty, staff and students of different cultures.
  • Native English speaker or similar level of written and spoken English.
  • Proven track record and commitment to outstanding customer service.
  • Highly analytical with excellent problem solving and project management capabilities.
  • High attention to detail.
  • Ability to balance long-term planning with short term objectives.
  • Creative and innovative personality, ability to conceptualize and implement processes to enhance the student experience.
  • Flexible approach to work and able to maintain composure in a fast-paced environment.
  • A high energy and enthusiastic individual who thrives under pressure, is able to use their own initiative, prioritize tasks and operate to tight deadlines.
  • Personable, persuasive and a strong influencer, with the ability to cultivate and maintain relationships.
