About the role

The Faculty of Natural, Mathematical & Engineering Sciences (NMES) is looking for an experienced Executive Officer to provide a highly professional, effective, and confidential executive service to the faculty senior leadership team.

The Executive Officer will provide essential support to two members of the senior leadership team, supporting to enable the effective delivery of their duties.  The role will be based in the faculty business support function, managed by the Senior Executive Officer and will work across departments in the faculty.

We are seeking a dynamic, enthusiastic, and proactive Executive Officer to provide duties that include the coordination of cross-departmental and faculty processes, inbox and complex diary management, and the provision of secretariat support to departmental committees.  As well as ensuring the delivery of day-to-day operations, the ideal candidate will have an inquisitive mindset and work to proactively identify ways to improve service delivery and demonstrate the willingness to take on responsibility for discrete areas of project work as required.

The role would suit someone who is self-motivated, highly organised, adaptable, and proactive. We are seeking someone eager to shape a role, comfortable with an evolving portfolio of work and committed to continuous improvement.

The role will act as the first point of contact for the office of senior members of the faculty and will be required to regularly liaise with senior faculty and department colleagues, academics, professional services staff across the faculty and services throughout the university.  We are seeking a candidate who has experience of working with a range of colleagues, including high profile external visitors and partners and who can act as an ambassador for NMES, demonstrating confidentiality, tact, and diplomacy.

It is an exciting time to join NMES as we continue to grow, and the Executive Officer will actively contribute to the delivery of our strategic objectives.

These are currently hybrid roles and role holders will spend part of their working week on campus and part of the week working remotely.

This is a full-time post (35 Hours per week), and you will be offered an indefinite contract.


About you

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

1.      Educated to A level or equivalent professional experience.

2.      Excellent IT skills, including experience of using Microsoft Word, Excel, PowerPoint and SharePoint (or equivalent).

3.      Experience of providing professional personal assistant support to members of a senior leadership team including inbox and complex diary management.

4.      The ability to draft documents and correspondence and demonstrate excellent verbal and written communication skills.

5.      Experience of managing a range of enquiries and the ability to liaise with a wide range of stakeholders in an assured manner, demonstrating professionalism, discretion, confidentiality and integrity.

6.      Experience of committee administration including accurately recording actions and decisions.

7.      Excellent time management, prioritisation and organisational skills.

8.      Experience of been flexible in approach to work and changing priorities.

Desirable criteria

1.      Experience of managing small projects through to completion that have resulted in delivering solutions to identified problems.

2.      Experience of working across boundaries in a large and complex organisation.

3.      Experience of undertaking desk-based research and analysis
