The Role

We have an exciting opportunity for a highly motivated and enthusiastic individual to join the Faculty’s Professional Services Team, based in the School of Pharmacy.

As an Education Administrator you will contribute to the successful delivery of an excellent student and colleague experience supporting several activities and key processes across the academic cycle within our friendly Education Team. In addition to working closely with the other members of the team, you will also work closely with students, academic colleagues and central services. The post will have a particular focus on our taught academic programmes (undergraduate and postgraduate), providing an efficient and effective support service for students, and staff, in line with the School’s educational objectives.
We welcome applications from you if you can demonstrate strong organisational skills and excellent interpersonal and communication skills, so that you can confidently engage with colleagues at every level of seniority. You should have good all- round IT skills, be adept at using Microsoft Office (Outlook, Word, and Excel) and have a keen eye for detail, ability to deal confidently with complex and confidential data. You should be a team player and be able to use your own initiative to prioritise key takes to ensure deadlines are met. Previous experience of working within higher education would be advantageous but is not essential. 

A positive ‘can-do’ attitude and a flexible, helpful approach is essential.

Key Accountabilities

  • To provide administrative support to the education function of the School across the full student lifecycle (from registration, through progression to completion)
  • Responsible for inputting amendments to annual documentation such as modules and regulations
  • Responsible for ensuring up to date information is uploaded to the appropriate University systems. In addition, to be responsible for inputting updates of teaching materials on University systems as they arise, and the timely distribution of materials to staff and students
  •  Responsible for checking and updating student data using University systems, including ensuring students are appropriately registered for modules as required
  • Where appropriate, supporting the allocation of personal tutors to students, and for monitoring meetings between tutors and tutees via the ePortfolio system
  •  Support the Education Team Leader with student attendance monitoring administration as requested
  • Responsible for receipt and collation of assessment materials from academic colleagues, for tracking assessed work out for marking and chasing to ensure it is processed within expected timescales. In addition, transcribing or uploading marks to relevant
  • To support the organization of practical assessments and assist in setting up examination venues
  • Support the administration of processes relating to adjustments required for students with wellbeing issues or personal extenuating circumstances
  • Provide support for the arrangement of student placements and maintaining accurate records
  • Support the collation of timetable requirements in agreed timescales and, liaising with academic staff regarding requirements, advising on constraints and practicalities of requests
  • Provide support for the allocation of research projects to students
  • Where appropriate to act as secretary to designated meetings, including agenda preparation and circulation, minute taking and monitoring progress of actions
  • Responsible for setting up on University systems evaluations for students to complete
  • To provide support for the School’s Admissions where required; this can be significant for some programmes
  • Any other duties within the scope and general nature of the grade which may be required.  This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)

Qualifications

  • Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications
  •  Relevant work experience in an administrative or customer service setting
