Senior Executive, External Relations

The Senior Executive, External Relations will support the Manager in the operational and administrative matters pertaining to the successful implementation of strategic initiatives that will contribute to the university and school’s reputation and stakeholder operational excellence.

Key Responsibilities:
 

Event Management and Operations

  • Plan events and ensure successful coordination for events such as conferences, seminars, workshops, visits, or social gatherings.
  • Coordinate with stakeholders to align logistical aspects such as venue selection, catering, audiovisual setup, transportation, accommodation, manpower resource allocation, procurement and update budget expenses.
  • Ensure events are executed within budget constraints and adhere to timelines
  • Coordinate and host guest visits to the College
  • Ensure seamless coordination from pre-event set up to onsite coordination and post-event reporting
  • Respond to event inquiries

Office Administration

  • Provide secretarial support for board advisory meetings such as coordinating meeting schedules, taking minutes, and arranging logistics.
  • Manage inventory for corporate gifts
  • Maintaining excel databases such as budget expenditure, partners, and event registration.
  • Undertake other administrative and/or related duties as assigned

Partnership Support

  • Manage relationships with stakeholders and improve service satisfaction
  • Provide administrative support for partnership agreements and maintain partner database
  • Assist in supporting marketing and promotion and other ad-hoc initiatives undertaken by the Office

Key Requirements:

  • Minimum good diploma from a recognized institution
  • Minimum 2-3 years of relevant working experience in event management, strategic partnerships or related field, ideally in education or event sectors. Fresh graduates are welcome to apply.
  • Excellent interpersonal, analytical and problem solving skills
  • Strong verbal and written communication skills
  • Team player, highly motivated to build relationships with cross-department members, stakeholders and others in the organisation who have impact in the projects
  • Self-driven with the ability to work independently as a team member with minimal direction
  • Able to work in ambiguous situations with a positive attitude
  • Excellent organisation, prioritisation, monitoring and follow-up skills within tight deadlines.
  • Proficient in MS Office (Word, Excel, PowerPoint)
  • Working knowledge of SAP, CRM application, or design applications will be a bonus
