We are looking for highly motivated and organised Senior Executive to join our Communications and Outreach Department. The candidate will play an important role in ensuring the smooth and efficient operation of our office, successful production of events, publications and collaterals for enhanced branding and reputation of the Lee Kong Chian School of Medicine. S/he will be responsible for maintaining records and archives or work produced by the team, as well as provide administrative support to various team members, managing office procedures, and handling day-to-day tasks to ensure the team operates efficiently. The candidate also coordinates team tasks with other departments within the School, as well as its close partners, working closely with the Director of Communications and Outreach.
Responsibilities:
Preparation of meeting materials and department calendar, managing meeting schedules
Manage team event calendar, prepare and draft materials for meetings ahead to ensure team is well-briefed on meeting procedures and preferred outcomes.
Manage and checklist tasks, prioritise and manage deliverables.
Gather required information for drafting and submiting of ITQ documents and other paperwork for procuring of services.
Keep detailed archives of documents by the team, and visual material including photos and videos.
Work with team designer in the production of communication materials (eg. EDMs, newsletters, banners, video, website, social media content) for School publicity, marketing and publications.
Liaise with the designer, events manager and vendors to see to the production and subsequent dissemination of these collaterals.
Provide fresh insights and ideas to enhance the strategic workforce planning for events.
Work closely with Events Manager to plan and coordinate events requirements.
Attend to paperwork and administrative briefs to ensure successful events.
Liaise with both internal and external stakeholders on communication and events related matters.
Requirements:
Degree in Business management, Office management, Media or Communications with minimum 2 years of experience in Comms and Event Management. Fresh graduates are encouraged to apply.
Good interpersonal and communication skills, able to interact effectively with internal and external stakeholders. Has excellent writing skills
Possess excellent organisational and time management skills.
Experience in using Microsoft Office Suite.
This is a contract appointment till 31 March 2026.
