Job Description
  • Provide secretarial and administrative support to the Chief Alumni Officer including coordinating and maintaining the calendar of the Chief Alumni Officer, arranging meetings/appointments, and managing overseas travel logistics;
  • Manage the Chief Alumni Officer’s expense claims;
  • Send meeting reminders and ensure all required materials are prepared in advance of each meeting;
  • Manage the department secretary's role-based email account and help resolve requests where possible;
  • Assist in handling incoming calls, and visitors;
  • Attend to requests from university administrative offices.
  • Provide support in the organisation of department events;
  • Update alumni records, when required;
  • Supervise front-of-the-house reception, student ambassadors and related administrative matters for the Shaw Foundation Alumni House;
  • Perform any other duties as assigned by the Chief Alumni Officer, and Head of Administration

Qualifications
  • A recognised degree with at least 2 years of working experience; fresh graduates may also be considered.
  • Good command of English with strong verbal and written communication skills.
  • Excellent project management skills, timeline-oriented, meticulous, and attentive to details. 
  • Courteous and discreet, with good people skills.
  • Adaptable and able to multi-task in a fast-paced environment.
  • Prior experience in a similar role would be an advantage.
  • Good knowledge in Microsoft Office Applications.
