Job Description

The Office of Admissions (OAM) oversees full-time undergraduate admissions, scholarships and financial aid. Reporting to the Office of the Provost, OAM develops and implements policies and operations related to undergraduate admissions, awards and administers scholarships and financial aid, and markets the university’s undergraduate programmes in conjunction with the faculties.


We seek a highly motivated and organised candidate to lead and manage the administrative and procurement functions of the department while overseeing finance operations and budget activities.  You will also coordinate and facilitate integration across the various sections involving Customer Care, Outreach, Scholarship & Financial Aid, and Admissions, in assigned tasks and projects. In your role, you will drive continuous improvement, optimise resource allocation, and support the overall mission of the Office of Admissions.

 

Duties & Responsibilities

•  Provide hands-on leadership, integration, and guidance in office administration, encompassing daily operations, assets, and facilities management to ensure the smooth functioning of administrative processes and provide a conducive work environment.
•  Develop business continuity plans for implementation in a crisis, implement fire safety protocols, as well as coordinate training, drills, and response efforts to ensure organisational readiness and compliance.
•  Prepare annual budget and forecast in collaboration with OAM’s leadership team.
•  Ensure compliance with NUS Finance/Procurement Policies, Procedures, and systems within OAM (e.g., informing/ conducting training sessions, implementing policy changes)
•  Ensure accurate and timely processing of all financial/procurement transactions.
•  Develop, implement, and review/enhance work processes and internal controls, making recommendations for improvement where necessary
•  Collaborate with the OHR  to support department staff’s professional development (Data Literacy Program and Artificial Intelligence Competency Course)
•  Handle cross-sectional initiatives including exploring the use of NUSChat for customer enquiries, ensuring accurate and consistent information is provided to prospective students across various communications channels,  overseeing the organisation of OAM’s physical Open House event, and reviewing and implementing the department-specific staff development initiative
•  Support and coordinate University-level Aptitude-based Admissions initiatives as well as handling Special/MP appeals, to ensure execution adheres to established timelines and respond promptly to enquiries and requests for information from government ministries and other stakeholders.
•  Conduct the annual Undergraduate Admissions E-survey exercise targeting applicants who are offered admission to NUS and analyse the survey responses
•  Support OAM’s outreach efforts by performing the role of local outreach school in-charge and serve as the department’s admissions and outreach officer-in-charge for CDE’s Engineering Scholar’s Programme


Qualifications

•  Bachelor’s degree holder with at least 5 years of relevant experience in office administration and finance, in a higher education setting
•  Able to work independently and collaboratively, demonstrating strong team player qualities and excellent interpersonal skills
•  Demonstrates good written and verbal communication skills in English
•  Possess strong analytical skills and problem-solving skills, coupled with a proactive, resourceful, meticulous approach 
•  Able to effectively interact with individuals at all levels, including students, staff, and faculty members 
•  Strong adaptability to evolving work scopes for special projects
•  Proficient in MS Office applications
