Our team and mission

The Human Resources Department is responsible for: defining, in consultation with the Agency’s management and staff representatives and according to the Agency’s needs, the strategy and policy in the area of human resources, employment and working conditions and ensuring uniform implementation throughout the Agency; providing HR solutions and guidance to staff and managers on all human resources matters; managing HR operations, including staff administration, recruitment support and social security; developing, in close cooperation with the Workforce Management Office, the Agency’s organisational structure, including post/grade assessments; staffing planning within the targets set by the workforce allocation and together with the respective Directorates (including recruitment and reassignment planning, mobility of workforce between activity areas, development of competency planning) and advise on organisational set up and change management; drafting, updating and revising the Staff Regulations, Rules and the Pension Scheme Rules in line with the relevant human resources policy decisions and in consultation with the Legal Services Department; among other tasks. 

The ESAC Administration Office, under the direct authority of the Head of the Human Resources Department and functionally reporting to the Head of the Procurement and EU Administration Department and to the Head of Finance, Planning and Controlling Department, is responsible for supporting the ESAC activities and staff for all the administrative functions like: HR, Finance, Procurement and interface with local authorities.

Field(s) of activity for the internship

Topic: Intern in the ESAC Administation Office

The main topics related to Human Resources activities of the ESAC Administration Office are the following:
Digitalization process of the personal files of staff working on site;
Setup of databases in the area of Human Resources;
Update the newcomers guide;
Preparation of the Human Resources news to be displayed every week in the intranet and in TV screens distributed onsite;
Training and interview logistics;
Communication with local administrative bodies;
Ensure the proper observation and implementation of ESA policy and regulation regarding employees, contracts, taxation, recruitment and tenders.

The main topics related to Procurement activities of the ESAC Administration Office are the following:
Support in the preparation of requests for offers/invitations to tender;
Support in the evaluation of offers and tenders;
Participatation in the negotiation meetings and support in the preparation of the resulting contracts;
Participation in the monitoring of the execution of the contracts;
Exposure to administrative, contractual, legal and industrial problems arising from the procurements concerned (e.g. Intellectual Property Rights) with the aim of better understanding the mind set of an ESA Contract Officer

Education

You must have student status and be enrolled at university for the entire duration of the internship. You should preferably be in your final or second to last year of a university course at master’s level in a technical or scientific discipline.


Additional requirements

The working languages of the Agency are English and French. A good knowledge of one of these is required. Knowledge of another Member State language would be an asset.

The topics listed in Section 2 above respectively require such educational knowledge as:

  • fluency in Spanish & English, perfect writing & redacting skills
  • good communication skills
  • knowledge of MS Office application
  • independent worker
  • high level of proactivity
  • you shall be studying or have graduated from law, economics, business management.
  • shall have a talent for formulating contractual/legal documents and negotiating, as well as be able to understand issues of a technical, scientific and management nature
