Your Role...

You will be a key player within a dedicated team in the Office of the Rector in charge of building up the framework for planning and managing professorial recruitments and appointments. As a young University, our institution is looking to further improve our ability to identify and attract top academic talent to our faculties and interdisciplinary centres. You will work with the top management and the HR department to develop, revise and deploy departmental recruitment strategies and ensure a robust yet agile procedural framework to streamline appointment processes.

You will bring specific expertise and be directly responsible for:

  • Providing key insight and following up on the academic recruitment strategy and implementing yearly planning processes;
  • Working alongside deans, directors and recruitment committees to ensure strategy is translated into high-quality recruitment procedures, including pristine document preparation (professorial profiles, recruitment reports) for Board level discussions;
  • With HR and dean's and director's offices, establishing regular reporting and dashboarding of professor recruitment activities to allow for real-time monitoring of activities and key performance indicators;
  • Ensuring and further developing the interfaces to the various services involved in academic recruitment (HR, finance, infrastructure) together with the Secretariat of the Board of Governors; and
  • Managing multistakeholder projects in process design and system review/implementation in these areas.

In addition, the team is responsible for:

  • Liaising with and advising faculty and centre leadership on all formal procedural matters related to professorial recruitments, appointments and evaluation processes;
  • Coordinating the drafting and reviews of key processes and procedures with the top management, internal audit and across services, and ensuring updates of major policies, procedures, tools, and relevant guidelines and templates;
  • Ensuring key procedural steps for which the rector is responsible, and advising on all steps of recruitment and evaluation processes; and
  • Drafting information material for management, employees, and external parties, and organising and delivering targeted information sessions.

What we expect from you…

  • Master's degree or equivalent by work experience; PhD is an asset;
  • Several years experience working on themes related to institutional strategy/governance or HR strategy;
  • Fluency in English and French (in written and oral) are mandatory. Good understanding of German and/or Luxembourgish is a plus;
  • Ability to act as trusted advisor and sparring partner to top management;
  • Exceptional organizational acumen, excellent written and oral communication skills;
  • Adept project management capabilities, and very good analytical and problem-solving skills with orientation to detail;
  • Keen understanding of process design and development of fit-for-purpose tools;
  • Ability to work under pressure and meet tight deadlines, where necessary;
  • Team player, able to work in an international, multidisciplinary and multicultural environment.
