Reports to: Officer, Bus Services

Purpose: The supervisor position is a vital ingredient in the overall success of the AUC bus service operation. The majority of AUC community relies on the bus service as their only mean of transportation to and from Campus. The job holder will be one of the principal liaisons between the transportation department and the multi-bus service provider. She/he is responsible to assist in all buses traffic management and utilization and will be accountable for following up on all bus checks, daily maintenance, and ensuring the implementation of day-to-day bus policies and procedures. The main purpose is ensuring a smooth implementation of operations.

Principal Accountabilities:

  • Coordinate the entire AUC bus service operation which serves more than 4,000 riders per day
  • Supervise the bus services operation as efficiently as possible
  • Supervise different functions and tasks within the bus service (Wi-Fi, bus ticketing, bus terminal traffic and data logging)
  • Responds to all emergency situations associated with running a bus service
  • Evaluate and proposed the operation workflow, processes, policies, and procedures to align with the dynamic nature of the service
  • Test drive any repaired car after maintenance or installation of any spare parts
  • Supervise the bus daily checks and report any issues to the bus services officer
  • Supervise ticket sales to visitors, make sure to get the full amount and submit the remaining unsold tickets with the money to ticket admin, and record the number of tickets sold in each arrival/departure
  • Supervise on bus pass activation, report activation problems to the IT, keep a record for all payment receipts, prepare and maintain statistics of bus pass activation
  • Follow the plan for the commencement shuttle buses and traffic management
  • Resolve issues and establish/maintain the internal manuals and procedures
  • Supervise the bus schedules, to be published both on the webpage and the AUC mobile application
  • Prepares periodic reports as required
  • Assists the bus services officer in preparation of specifications or RFPs for all new equipment as requested
  • Provide instructions, guidance, and assistance to the bus riders with relation to pick up/drop off points, schedules, routes, and any related matter
  • Handle all interactions with bus riders and attend to their complaints and suggestions, both on phone and face-to-face
  • Attend to all emergency calls 24/7, and follow up on handling the emergencies properly
  • Investigate complaints received over the transportation email and hotline, and ensure to provide a full assessment of the complaint to direct supervisor
  • Supervise the hotline attendants and schedule their attendance, and make sure that the hotline is covered during the operational hours
  • Raise the attendants’ concerns and issues to senior management and suggest the needed training courses for the bus service attendants
  • Supervise the follow up on the maintenance of all vendors’ buses
  • Supervise the operational work of the bus terminal
  • Supervise and handle all attendants' leaves requests, attendance, overtime, and allowance, plan the weekly attendance and assignments schedule, and assign backup
  • Assist the bus service officer in processing the operational finances of the service (invoices, deductions, penalties) and apply relevant deductions
  • Perform any other related duties as requested from direct supervisor

Requirements:

Minimum Education Requirement:  

  • University degree is required

Experience:

  • Minimum of seven years in relevant bus maintenance field

Skills :

  • Being highly responsive is a must
  • Mastering the ability to make quick decisions in emergency situations
  • Excellent oral communication skills with various mindsets and backgrounds
  • Well organized and able to prioritize work; and able to work independently without close supervision
  • Ability to cope with numerous interruptions, daily contact with faculty, department chairs, administrators, and various other university, community, and government officials
  • Good knowledge of the institutions and facilities and operation's policies, practices and standards relating to provide appropriate responses to customer questions
  • Strong oral and written communication in both English and Arabic, and team building capabilities to work effectively in a diverse environment
  • Moderate to high knowledge of standard office equipment and equipment with basic operating procedures (i.e., calculator), and equipment used in university operations. Intermediate knowledge of computers and computer software (word processors, and spreadsheets)
  • Reasoning skills - ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
  • High negotiation skills for proper contract communication and negotiation
  • Must be able to remain calm and in a professional manner during stress periods when the customers are not always calm
  • Fine knowledge of computers and computer software (word processors, spreadsheets, databases) with the ability to operate automated database work control programs from terminal stations and/or personal computers
  • Good knowledge of buses maintenance and safety requirements
  • Other - while performing the duties of this job, the employee is sometimes exposed to occupational risks and/or dirt, odors, noise, weather extremes and similar elements
