Officer, Trade Finance in Africa Certificate Program, Executive Education Unit, School of Business, Grant Position

Reports to: Manager, Grants and government programs

Purpose: The job holder will coordinate and implement day-to-day activities related to the Trade Finance in Africa Certificate program offered by the Executive Education (ExecEd) at the School of Business. This includes sections’ scheduling, participants’ admission/registration and records keeping. He/she will be responsible for building and creating program catalog and section schedules, course grade book as well as section assessment and evaluation on Banner to ensure consistent records of ExecEd courses and sections as base for participants’ records.

Responsibilities:

Build ExecEd Program/Course Catalog and Maintain Course Records

  • Assist in building and updating course components such as course codes, attributes, terms grade mode (certificate level) and department (unit code) on Catalog on Banner for the Trade Finance in Africa Certificate

Build and updated ExecEd Course/Section Schedules

  • Build course/section schedules per term on Banner for the above-mentioned program and specify related restrictions and share them with ExecEd units
  • Create sections’ assessment schedules on Banner per course
  • Modify and update course schedules according to the dictates of reality and needs
  • Collaborate with the Support Services staff to reflect changes as per actual class implementation

Build Course Gradebook by Sections on Banner

  • Build gradebook (Grade distribution), for sections of ExecEd programs on Banner according to the course syllabus designed per course per program

Build ExecEd Instructors Records on Banner

  • Create ExecEd instructors’ records on Banner for the Trade Finance in Africa Certificate Program and share them with the Instructors Affairs Unit and The American University in Cairo’s (AUC) HR

Change of Course Reference Number and Terms Activities

  • Process any change in sections schedules requested
  • Drop and add class lists (Mass registration) on Banner in case of changes in Course Reference Number (CRN) and terms for above-mentioned program

Enrollment and Registration of Participants

● Coordinate with the Participants Affairs Unit the participant admission and enrollment on Banner

● Review and provide the unit with the participants’ personal, education and work experience information for nominated applicants and accurately update them, when needed, and requested by participants

● Request a non-person ID on Banner for the account and share it with all the stakeholders

● Assist in and review participant registration and withdrawal/refund requests

● Prepare class lists for the above-mentioned program and share them with and the assigned instructors

Participants Records

● Coordinating, with the Participants Affairs Unit, the system for archiving and retrieval of participants’ records and grading as per structure of courses/program and partnership agreement

● Review participant records, request grade rolling for certificate issuance and supervise the certificate delivery process to participants

Course Evaluation schedule on Banner

  • Schedule mid and final courses evaluation for all the courses of the certificate as well as the exit survey and create the online evaluation link and share it with the concerned units and staff members

Institutional Development

  • Help in maintaining the school’s accreditation as well as ExecEd accreditation and comply with their standards
  • Adhere to ExecEd quality standards
  • Participate and contribute to the ExecEd wide activities and projects
  • Study and apply ExecEd policies and procedures, highlight conflicts and loopholes, think and document areas for continual improvement
  • Participate in assignments related to general AUC wide projects

Reporting

  • Produce reports and statistical data on all activities when needed and requested
  • Perform any other assigned task as necessary requested from the management

Requirements:

Minimum Education Requirements:

  • University degree is required

Experience:

  • Minimum 7-9 years of professional experience
  • Banner and SAP experience

Skills:

  • Excellent English and Arabic language skills
  • Strong interpersonal and communication skills
  • Excellent team work skills, collaboration, flexibility and organization
  • Energetic, self-motivated and possess friendly attitude.
  • Good handling of ad-hoc multiple tasks with high-quality performance
  • Proficient user of MS office.
  • Familiarity with online-based platforms such as zoom or others is required
