Your opportunity:

Under the general direction of the Chair, and working closely with the Associate Chair, Undergraduate Studies, the incumbent is responsible for providing a wide range of undergraduate administrative support.

Your responsibilities will include:

  • Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Maintaining course information on student information systems
  • Keeping well-informed on University programs, policies and procedures
  • Liaising with students and faculty to coordinate program activities
  • Disseminating program and/or service information
  • Handling sensitive and/or confidential information
  • Generating reports

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of education and recent and equivalent experience.
  • Minimum two years of recent and related experience in an undergraduate academic department providing program administration and working with students and faculty.
  • Experience working with academic and student related programs, practices, and procedures.
  • Experience providing front-line service and detailed explanations to prospective & current undergraduate students from diverse backgrounds.
  • Experience preparing reports, updating program communications materials (handbooks, newsletters, websites, etc.) and maintaining files.
  • Experience working with the University of Toronto and Faculty of Arts and Science undergraduate practices and procedures, and the University of Toronto fees schedules.
  • Experience working with students, faculty, and the public with tact and discretion.
  • Demonstrated advanced computer skills, including MS Office (e.g. Word, Excel, Outlook, etc.), databases, content management system or other website management system, and group scheduling software.
  • Advanced skills using ROSI, ROSI Express, eMarks, Degree Explorer, Quercus, or other similar student information systems.
  • Ability to take initiative and work proactively, with demonstrated experience recommending process and workflow improvements.
  • Excellent organizational and time-management skills with demonstrated ability to meet deadlines, and to manage competing, new, and changing priorities.
  • Demonstrated strong client service orientation and ability to communicate with tact, diplomacy, and discretion on handling confidential information.
  • Excellent written and verbal communication and interpersonal skills.
  • Strong attention to detail, with the ability to implement and maintain processes for detailed and accurate records.
