Founded in 1910 and located in Calgary, Alberta, Canada, Mount Royal University grew into a vibrant college in the 1930s and became a mid-sized university in 2009. The University owns and operates a 1,018-bed facility and offers students a variety of accommodations and amenities. Residence Services is committed to be the place students want to live. Centered on student success, residence life programming is designed to support the needs of students by creating a living and learning environment that is conducive to academic, personal, and social growth.

The Summer Housing Assistant reports to the Guest Services Coordinator, Residence Services and provides support to the department. This position offers opportunities for problem solving and creating positive client relations to achieve department goals. The main responsibilities of the position are administrative support, data entry, office staff support and direct customer service to students, guests and the general public. These services are primarily provided in person, by phone, or by other electronic avenues. This position requires medium physical exertion, visual concentration, manual dexterity and/or strain.

This is a full-time limited term position working 35 hours per week and ending September 2, 2024. 



Responsibilities

Administrative Support

  • Provide high quality customer service and assistance at the front desk by phone, mail, email, other electronic means and in person.
  • Maintain the general residence email account and ensures timely responses to inquiries.
  • Administrative support including preparation of correspondence, report compilation, filing, word processing, and scheduling.
  • Processing payments by guests and students as directed.
  • Assist in the accurate entry of records into the StarRez system for students, guests, and other needs as required.
  • Receive and organize student and guest requests related to their accommodations and ensuring all information has been collected and requests are responded to or directed to the appropriate person.
  • Prepare mail-outs as required.
  • Assist with the preparation of Residence Services print materials and packages.
  • Generate reports from StarRez as needed.


Office and Department Support

  • Receive, sort and deliver mail and couriered parcels.
  • Sort incoming internal mail and distribute to students and staff.
  • Assist the Guest Services Coordinator and the Manager, Residence Services with correspondence, daily tasks and scheduling as required.
  • Assist the Guest Services Coordinator with administrative tasks related to Student and Conference/Casual Guest Housing
  • Provide back up in the coordination of facility bookings.
  • Assist with special events such as move in and move out days as well as large group check ins.
  • Organize and maintain office filing system according to University standards.
  • Actively participate in staff and planning meetings to continue the improvement of department functions and goals.
  • Maintain and update Residence Services social media and website information.
  • Assist on specifically assigned projects.

Qualifications
  • One-Year Post Secondary Certificate or Program Completion
  • 12 - 18 months of public relations and customer service experience or training, and cash handling skills
  • Experience in post secondary education is required to better understand and relate to student needs, and expectations
    • Experience in a campus residential environment is an asset
  • Office administration experience or training
  • Strong knowledge of Microsoft Office software
  • Knowledge of StarRez and Banner would be an asset
  • Strong communication and interpersonal skills
  • Organizational, administrative and computer skills
  • Interest and ability to work with young people

Salary:                 $21.63 - $27.35 per hour
