Working for VP External Relations - Development and Alumni Relations

Position
The Program Lead, Online Engagement is responsible for managing a variety of online programs such as webinars and book clubs to help strengthen the relationship between alumni and the University. There are four key markets that both the content selection and timing of online programs will be focused on; Western North America (including Edmonton and area), Eastern North and South America, Western Europe, and Asia (including SE Asia). The Program Lead, Online Engagement will ensure that the suite of online content offered engages alumni from all key lifestyle/age demographics to help ensure a broad range of programming. This role will also serve as the subject matter expert on the technical aspects of online programming for our office.
Duties
Pre Production - Program Development and Marketing
- Develop and manage a calendar of webinars and online activities to engage alumni and expand their knowledge.
- Analyze market trends and perform environmental scans to ensure engaging programming.
- Work collaboratively with other portfolios within Alumni Relations and Development to develop successful and relevant programming to further strategic goals.
- Identify, vet, and recruit internal and external subject matter experts to present online activities.
- Create and edit presentation materials ensuring they align with brand guidelines.
- Assist in the creation of compelling marketing campaigns to promote online programming.
Production - Implementation Logistics and Technical Support
- Evaluate and select technologies to provide online engagement.
- Manage webinar platforms, ensuring a smooth and glitch-free experience for presenters and participants.
- Host webinars and moderate chats and Q & A sessions.
- Collaborate with other portfolios within Alumni Relations and Development to offer support for streaming and/or recording of live events.
Post Production - Data Analysis and Follow Up
- Compile post-event reports highlighting successes and identify areas for improvement.
- Provide post event data for follow up action by other units as required.
- Collect and log webinar materials for future reference.
Relationship and Management
- Deepen connections with alumni by recruiting grads to serve on advisory board(s) for online content development.
- Actively engage with alumni via online forums where appropriate (eg book club chat).
Administration and Financial Management
- Manage annual program budgets for assigned areas.
- Create written guidelines for conducting webinars and provide training to other staff as needed.
- Liaise between with technology providers to negotiate contracts, manage accounts and troubleshoot issues.
Minimum Qualifications
- Minimum of a university degree required with background in such areas as: communication, marketing, social sciences, recreation, or program planning.
- Two years of experience working on webinars or online education and two years of experience in program management, administration, or coordination.
- Proven project management skills with the ability to initiate and execute projects from start to finish.
- Strong written and verbal communication skills and an engaging, friendly, and confident “on-air” voice.
- Excellent attention to detail, demonstrated ability to meet deadlines, strong organizational skills, and dependability.
- The ability to maintain a positive team-player attitude, remain calm and professional under pressure, work collaboratively and independently with diverse individuals, and resolve conflicts constructively.
- Strong relationship building skills required - approachable, diplomatic and possesses ability to influence people positively.
- Requires working knowledge of managing budgets and data analysis.
Preferred Qualifications
- Experience in alumni relations is considered an asset.
- Proficiency in Google Suite (Gmail, Calendar, Drive, Docs, Sheets) and adeptness with Zoom.
