Schedule Description
The Program Advisor will work 21 hours per week (schedule to be determined with the successful applicant), with full-time hours for two weeks at the beginning of each semester due to higher volume.
DUTIES

The Program Advisor provides advice to students with respect to education planning, academic goals, and course selection.  This position may work with students from pre-admission inquiry through to graduation; it proactively encourages students to complete credentials in a timely manner.


MAJOR DUTIES & RESPONSIBILITIES

  • Responsible for advising students in assigned programs.  Assists with coverage in other programs as required.  
  • Responds to student inquiries, develops program plans, and advises on course selection.
  • Researches and makes recommendations on admission requirements and transfer credit assessments.
  • Works closely with Associate Deans and Program Coordinators.  
  • Assesses/monitors student records and notifies the Program Coordinator of deficiencies associated with program continuation; conducts degree audits for student graduations 
  • Works closely with Enrolment Services, Recruiting, Delivery and Registrar’s Office on resolving issues relating to admissions and advising. 
  • Establishes rapport with students within portfolio.
  • Takes a student-centered approach and receives student referrals.
  • Approves and prepares letters of permission for program students to take non-TRU courses.
  • Evaluates and makes recommendations according to Prior Learning Assessment and Recognition, transfer credit and block transfer articulation guidelines. 
  • Assists the respective Chair and Program Coordinator with data entry for course scheduling.
  • Engages in continuous training and professional development related to assigned programs.
  • Maintains student files in accordance with TRU policy around data retention and destruction.
  • May represent TRU-FOHSED at career fairs, trade shows, and recruiting events.
  • May provide training to other staff relating to course and program advising, admissions processes, advising theory/practice and systems management.

    QUALIFICATIONS

    EDUCATION:

    • Grade 12 plus a Bachelor degree from a recognized university in a relevant discipline


    EXPERIENCE:

    • Three years related work experience including:
      • Minimum of two years’ experience in post-secondary institution or related educational environment assessing student’s previous education, skills and background
      • One year marketing experience
      • One year working in a fast paced environment
      • One year student advising experience


    SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

    • Good organization skills including the ability to set priorities, multi-task and work with minimal supervision and remain focused on objectives
    • Ability to interpret admissions and transfer credit policies and guidelines, to recognize exceptions, and to take appropriate action to resolve problems
    • Intermediate research and analytical skills
    • Ability to investigate and listen in order to solve problems and provide solutions
    • Aptitude for exacting and precise work, a high degree of accuracy, thoroughness, and attention to detail 
    • Ability to communicate effectively verbally and in writing with a widely diverse student population and coworkers and across functional areas of the institution
    • Strong computer skills including student admissions and transfer credit modules and MS Office
    • Ability to maintain a student-focused as well as sales-focused approach
    • Familiarity with BC post-secondary education
    • Comprehensive knowledge of TRU programs and courses
    • Knowledge of student-tracking applications and tools
    • Familiarity in working with students from equity-seeking groups in program advising and/or demonstrated understanding of diversity and equity initiatives, including admissions.

    The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.
    Pay Band
    $32.12 - $35.69 ( CUPE Grade 09 (90% - 100%) )
    Salary rate
    This Position is not subject to a 90% start rate for new Employees.
