NOTE: This is a temporary position ending on or before May 31, 2025 with the possibility of extension.

 

The Operations Team in the Corporate and Continuing Education department is seeking two full-time Program Administrators to provide administrative support ensuring the successful delivery of courses and programs offered throughout the department. The main functions will relate to supporting operations processes within a team using cross-functional and centralized approaches. As successful candidates, you will be confident in working independently and interacting with a variety of clients, staff, and other stakeholders. You will exercise good judgment, have the ability to adapt to change, and be skilled in multi-tasking/project coordination in a fast-paced environment.

This position reports to the Operations Leads.

 

Key Responsibilities:

  • Initiating and maintaining instructor contracts using Adobe Sign, including invoicing for vendors
  • Organizing course delivery, including ordering course materials, texts & supplies and ensuring delivery of physical materials
  • Communicating with various service units within NAIT such as Registrar’s Office, Finance, Marketing
  • Organize class scheduling end-to-end, including class and LMS setup, and maintain records through a master list
  • Communicating with clients regarding group enrollment and partnership requests
  • Process and maintain course updates, class fee setup, milestones records
  • Entering and verifying specific class information in Campus Solutions
  • Monitoring course and program pages on NAIT external website for errors, structure improvements or content issues
  • Monitor workload and processes to provide feedback for continuous process improvement
  • Providing outstanding customer service in a team environment
  • Provide program-specific information to internal and external stakeholders
  • Maintain understanding of software tools and learning platforms: Moodle, Teams, Webex, Academic Tools, Salesforce, D2L

 

Skills & Abilities:

  • High computer literacy, including in MS Teams, MS Word, and Excel, and the ability to quickly learn new software platforms
  • Strong communication and interpersonal skills
  • Accurately complete tasks requiring a high level of detail
  • Ability to work in a high volume and high-paced environment

 

Qualifications:

  • Completion of grade twelve
  • Diploma in Business or Office Administration (or a related discipline) and 3 -5 years of experience in a related field. 
  • Working knowledge of Campus Solutions and Moodle/Brightspace would be an asset. 
  • Prior experience in a post-secondary environment would be an asset.
  • Equivalent combination of education and experience may be considered. 

 

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

 

Remuneration: $48,257.04 - $62,451.48 annually, plus a comprehensive benefits package. (Classification – Administrative Support V).                           

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
