Your opportunity:

Under the general supervision of the Manager, Diagnostic Services & Endodontics, the incumbent will assess and clarify the physical and mental conditions of patients to determine medical suitability for the Faculty of Dentistry.  The incumbent will perform core duties and responsibilities such as reviewing patient charts for completion of medical intake, reviewing patient charts to classify patient health status according to ASA status, reviewing patient charts to determine if further clarification of medical conditions is needed, communicating with appropriate interdisciplinary team to clarify medical conditions, balancing responsibilities to prioritize expediting patient care, and serving as a resource to faculty, instructors, staff by providing medical guidance, communicating with patients by phone (synchronously) or remotely by email or letter (asynchronously), when needed, to facilitate intake or to communicate status of intake. 

 Your responsibilities will include:

  • Acts to expediate patient clearance following medical intake
  • Assessing the medical conditions of patients immediately following medical intake process or following medical history updates of existing patients.
  • Identifying patient ASA status 
  • Identifying healthy patients who can proceed to immediate care, using a set list of criteria 
  • Identifying patients where further clarification of medical condition is needed, using a set list of criteria 
  • Composing medical letters to appropriate medical team members when clarification is needed, using a template 
  • Coordinating schedule to prioritize expediting patients who can immediately be cleared for care, prioritizing same-day approvals and/or dismissals where possible 
  • Identifying errors in medical history taking at the time of intake  
  • Identifying patients with medical conditions not suitable for care at the Faculty of Dentistry, using a set list of criteria 
  • Updating patients about their intake status or answering their questions by phone or email
  • Communicating to patients about their eligibility for care by verbal or written communication

Provides general clinic support by: 

  • Analyzing administrative processes and procedures and recommending changes 

for improvement

  • Handling sensitive and/or confidential information 
  • Updating and maintaining patient records 
  • Collecting and passing on information 
  • Some Administrative and other related duties as needed

Essential Qualifications:

  • Bachelor's Degree in nursing.
  • Current registration with the College of Nurses of Ontario
  • Minimum five years experience in nursing.
  • Demonstrated knowledge and ability to utilize the nursing process in planning, implementing and evaluating patient care
  • Demonstrated ability to cooperate and facilitative relationships when working with interdisciplinary team (Oral Diagnosis, Oral Medicine, Oral Radiology, Emergency, etc)
  • Strong interpersonal and communication skills
  • Excellent organizational and time management skills
  • Exercise initiative and good judgment with ability to multi-task
  • Excellent decision making and problem-solving skills
  • Experience with Microsoft Word

Experience: Minimum five years. 

Movement: This job requires a high level of muscular coordination and/or manual dexterity where precision is essential. E.g., Precise keyboard/keypad use where possibility for correction is minimal (e.g. production-oriented document production or data entry).

Assets (Nonessential):

- Familiarly with Axium or Patient Management Software

- Experience with Microsoft Productivity Softwares (e.g., Excel, Outlook)
