Working for the Faculty of Medicine & Dentistry

The Faculty of Medicine & Dentistry at the University of Alberta has 21 departments, two stand-alone divisions, 7 research institutes, 15 research centres, and 10 research groups. We have state-of-the-art labs and teaching facilities, award-winning teachers, medical students who have scored near or at the top on national medical licensing exams, and alumni who are making a difference in the health of the world's peoples.

UAlberta's Obstetrics and Gynecology Residency Training Program is centered at the Royal Alexandra Hospital (RAH) in Edmonton. There are 6 funded residency positions per year and approximately 30 residents in the program. Residents work with a supportive and dynamic team of educators, clinicians and researchers throughout their training.

Position

This position reports to the Medical Education Team Lead. It provides administrative support to Program Director, Associate Program Director, and Local Examinations Coordinator to administer the Hematological Pathology & the Obstetrics and Gynecology Residency Training Programs.

*This position is a maternity leave coverage.

Duties

  • Maintain active resident, educational, and administrative files, as well as archival files
  • Coordination of CARMS recruitment process including accessing and local set up of web-based application system, initial review and summarization of application files, solicitation of interviewers, arrangement of interview and orientation schedules, recruitment of resident interviewers and assistants, arrangement of rooms, catering, collation of rank list, preparation of comprehensive information packages
  • Coordinate Royal College style long case exams by soliciting examiners, distribution of schedules, coordination of venue set-up, photocopying, distribution of grades, maintains exam dossier for each resident
  • Plan and organize retreats, workshops and guest speakers including invitations to speakers and/or attendees, advertising, registrations, arrangement of venue, catering, related correspondence, reimbursements/honorariums, and feedback
  • Distribute monthly/biweekly or end of rotation in-training evaluations to preceptors, and corresponding rotation evaluations to residents through One45 software
  • Reviews Residents' travel, hosting and expense reimbursement claims for completeness and accuracy and enters into PeopleSoft

Minimum Qualifications

  • Undergraduate degree, a combination of education and experience will be considered
  • Minimum 3 years of progressive administrative experience required
  • Computer proficiency in a Windows environment using MS Office as well as Google Suite required
  • Strong communication skills and attention to detail required
  • Excellent communication and interpersonal skills coupled with problem-solving skills; effective working
  • Independently or cooperatively as a team member
  • Initiative, intuition, and creativity
  • Adaptability to changing environment; flexibility to accommodate varying work-day demands
  • High level of tact and discretion; maintain and ensure absolute confidentiality

Preferred Qualifications

  • The University of Alberta, College of Health Sciences experience preferred
  • Understanding of University of Alberta, Alberta Health Services policies and procedures preferred
