Position Summary:

Under the supervision of the HR Administrative Manager, the Human Resources Coordinator provides a high level of administrative and confidential support to the manager and HR Administrators at the Montreal Neurological Institute (MNI).

Primary Responsibilities

  • Acts as unit first point of contact and responds to general questions concerning human resources policies and the application of the collective agreements. Consults relevant documentation and liaises with appropriate resource persons to obtain and provide detailed information on diverse issues. Refers complex and sensitive issues to supervisor or HR administrators.
  • Assist HR Administrators with administrative activities related to recruitment.
  • Distribute and follow up on the completion of probationary and trial period review forms.
  • Organizes the team’s email, shared drive and folders and responsible for human resources archive.
  • Working closely with HR Administrators, submits Offers of Employment allowing work permit applications for Postdocs, Visiting and Professors/Scholars. Replies to general immigration queries and guides individuals to the proper resource/area. Prepares and submits Immigration, Refugees, and Citizenship Canada (IRCC) portal applications.
  • Assists with the coordination of onboarding and off boarding process for the MNI.
  • Drafts correspondence such as offer letters, letters for confirmation of employment, and various emails. Prepares documents such as templates, checklists, lists and forms as required.
  • Maintains and updates spreadsheets to keep up-to-date records of the unit.
  • Ensure the accuracy and completeness of information. Follow up on discrepancies. Consult appropriate documentation or resource persons to obtain and provide information. Resolve problems. Refers complex problems to HR Administrator.
  • As Local Timekeeper, generate time reports, review time entries, cross check with employee contract.
  • Create job requisitions and track posting deadlines in Workday.
  • Pull reports on outstanding vacation, review entitlements.
  • Prepare documents such as lists and reports.
  • Maintain physical and electronic files and records.
  • Assist with various requests and perform other related duties as required.
  • Provide general administrative assistance to the team.

Other Qualifying Skills and/or Abilities;
Customer service skills with a proven ability to deal effectively and diplomatically with sensitive situations. Time management and organizational skills with an ability to prioritize and multi-task in a fast-paced environment. Accuracy and attention to detail. Experience in HR related functions and activities is an asset. Excellent interpersonal skills with an ability to establish and maintain effective working relationships with various stakeholders at all levels. Strong communication and problem-solving skills with the ability to work independently and in a team. Results oriented with a demonstrated ability to effectively plan work and meet deadlines. Demonstrated ability to work in a PC environment using word-processing, advance databases, spreadsheets, presentation software. Knowledge of HRIS and/or Workday is an asset. “Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level 4 on a scale of 0-4.”
