Job Summary
The Department of Family Medicine strives to provide leadership by advancing the discipline of family medicine through education and research in primary health care, teaching family medicine residents and medical students, and demonstrating our commitment to lifelong learning and the dissemination of knowledge to Maritime family physicians. Reporting to the Physician Resource Officer, Faculty Appointment and Office Assistant acts as the first point of contact with the Department of Family Medicine. The position would maintain a good working knowledge of all programs within the department’s operating policies and procedures in order to clerically support all programs.
Key Responsibilities
  • Manage the Department reception area including processing the daily mail, responding to all e-mail inquiries, managing the stationery supplies, courier services, fax and copier issues, videoconferencing scheduling, Zoom bookings, room bookings, IT equipment bookings.
  • Professionally respond to general inquires, appropriately direct all callers and visitors and redirect specific requests, as appropriate.
  • With minimal supervision and in collaboration with the Physician Resource Officer, coordinate and process community academic appointments and welcome packages.
  • Ensure that faculty appointment information is updated and maintained within the internal Family Medicine Profile Application (FMPA).
  • Respond to general inquiries pertaining to faculty appointments for community physicians. Other related duties as required
  • Provide administrative support services to the Halifax Site Faculty Development Coordinator, faculty members without clerical support, the wellness committee and administrative staff requiring assistance.
Note
Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Office Administration program with a minimum of three years’ related experience (or equivalent combination of training and experience).
  • Proficiency in MS Office applications (Outlook, Word, Excel) and database systems.
  • Excellent communication skills and ability to organize workload required.
  • Ability to work independently and multi-task in a deadline driven, team environment.
Assets
  • Experience in a health professional education environment.
  • Experience in processing academic faculty appointments.
