Working for the Department/Faculty 

The Dental Materials Processing Clerk is responsible for the assembly of various dental kits and the cleaning and disinfection of carts, containers and dental materials and equipment used in all the dental clinics in the School of Dentistry. Knowledge of infection control protocols, dental products, supply management and the material requirements for various dental clinics is required.  

Position 

The Dental Materials Processing Clerk working under the supervision of the Materials Management Supervisor is responsible for the assembly of various dental kits and the cleaning and disinfection of carts, containers and dental materials and equipment used in the Oral Health clinic at the School of Dentistry.

The Dental Materials Processing Clerk is responsible for receiving supplies in the Material Management Reprocessing Centre, ensuring these products are appropriately labeled and stored according to the ADA&C and provincial and federal hazardous material regulations. The Dental Materials Processing Clerk monitors expiry dates and rotates perishable supplies to ensure inventory is optimized.

Knowledge of infection control protocol, dental products, supply management and the material requirements for various dental clinics is required. The Dental Materials Processing Clerk must be able to apply established supply policies while meeting the demands of each specific clinical area.

All carts (materials, equipment, supplies) received will have to be processed (cleaned, disinfected, etc) by the end of the day to ensure the effective and efficient operation of the clinic operations. The Dental Materials Processing Clerk may be assigned duties in the Dispensary or to other areas when operationally required.

Duties 

Disinfects and Replenishes Dental Material Kits

  • Prepares supplies and materials and assembles as per department guidelines all dental kits for the Oral Health Clinic and Continuing Education clinical operations and programs
  • Ensures that all sundry carts are appropriately stocked
  • Handles material and equipment requests at the front counter as required
  • Works with the Materials Management Supervisor to maintain proper inventory for the Oral Health Clinic and Continuing Education clinical operations dental kits
  • Properly stores all dental material, instruments and equipment according to material regulations
  • Receives metro carts from all clinical units
  • Transports the metro carts as required between the Dispensaries, Central Sterilization and the Materials Management Center
  • Performs basic hand washing prior to working with dental materials and wears appropriate personal protective equipment
  • Provides assistance in other clinical areas as assigned by supervisor

Standard Precautions

  • Processes non and semi-critical items delivered in dirty metro carts  
  • Disinfects all non-critical containers, materials and equipment that have been used by all dental clinics following IPC protocols
  • Follows Standard Precautions and maintains the appropriate schedule for delivery and retrieval of the metro carts in coordination with clinical operations
  • Prepares required dental and disinfecting solutions daily following Standard Precautions
  • Follows WHIMIS and Biohazard Waste Management protocol to ensure quality control of items processed
  • Maintains current skills/training in WHMIS, Infection Control, Biohazard Waste Management and Quality Assurance
  • Disinfects metro carts as per IPC protocol
  • Provides assistance with cart washing in Central Sterilization as required

Inventory Control and Documentation

  • Assists in maintaining inventory levels as determined by operational requirements
  • Monitors expendable and nonexpendable inventory daily to ensure adequate inventory for all dental kits
  • Records broken or non-repairable dental instruments and equipment
  • Completes materials inventory analysis at the end of each School of Dentistry term
  • Takes inventory of small equipment and instrumentation at the end of each term
  • Liaisons with Supervisor to ensure up-to-date information of supplied products and equipment as per the School of Dentistry clinical expectations
  • Assists in maintaining required databases to ensure accurate and up-to-date inventory information

Qualifications

  • Grade 12 Diploma
  • Dental experience is an asset (examples: dental assistant, hygienist, dental administrator)
  • Inventory management training/experience an asset
  • Current WHMIS training
  • Knowledge of dental procedures, materials and equipment an asset
  • Knowledge and/or understanding of Infection Control Protocol
  • Demonstrates skill in establishing and maintaining cooperative working relationships with others
  • Ability to multi-task, prioritize and perform tasks accurately with attention to detail
  • Able to work independently with minimal supervision
  • Ability to meet deadlines and work well under pressure
  • Excellent communication skills – verbal and written
  • Computer proficiency in MS Office (Word and Excel) required
  • Must be able to stand for extended periods of time and lift up to 50 pounds
