Working for the Undergraduate Medical Education Office

The Undergraduate Medical Education office in the Faculty of Medicine & Dentistry supports students in a four-year program leading to the degree of Doctor of Medicine (MD).

Position 

The Data Analyst is responsible for the collection, handling, processing, analyzing, and compiling of teaching evaluations and student feedback data in the MD program. For each academic year, the total number of evaluation forms processed is over 250,000 forms, recording and processing teaching evaluation for about 15,000 hours of instruction from 1500 instructors.

The incumbent will coordinate and maintain the necessary programming required to enable the data collection process for all evaluation needs of the MD program. The individual is also responsible for implementing and maintaining data process flows for all areas of the MD program. Finally, the individual is responsible for the creation of student feedback reporting and other learning science solutions as needed. 

Duties 

Responsible for maintaining and reinforcing human and automated process flows for all assessments (faculty and staff side), evaluations, and student feedback of the MD program as required by accreditation standards. 

  • Independently design, collate and disseminate student and instructor reports at the end of every course/rotation for the Director to disseminate to pre-clerkship and clerkship coordinators
  • Generates design specifications and implements automated data collection, evaluation and verification processes for the MD program
  • Programs, collates and disseminates Teacher/Tutor Effectiveness Scores, Interim learning feedback reports, and other peer feedback reports for the Director to disseminate to instructional stakeholders
  • Conducts data transformation and develops complex algorithms to structure/restructure data captured various learning management systems
  • Design and create evaluation data interfaces to interconnect with faculty demands for evaluation data
  • Design and maintain learning analytics software to enhance management of the curriculum
  • Develop, maintain, and enhance evaluation processes through new data collection methods as demanded through creating of CQI and accreditation tools as needed
  • Coordinate the management of evaluation information from course and program activities, as they relate to evaluation action plan implementation
  • Coordinating the work of team members (summer students, support staff) for data collection and data analysis
  • Coordinate with Director of Learning Science to enable and maintain all learning data is collected, analyzed and disseminated in a timely manner
  • Implement solutions and maintain the security and integrity of databases through design and implementation of best practice on data security; provide evaluation reports to students, faculty and staff as requested
  • Train support staff on new data collection and dissemination processes as needed
  • Perform other development and administrative duties as assigned

Minimum Qualifications

  • The position requires a bachelor degree in Computer Science including demonstrated ability with computer programming, learning management systems, evaluation data management, and software engineering
  • Minimum of 3 years of related work experience
  • Experience in planning, developing, problem solving and maintaining customized software solutions and learning management systems
  • Experience in managing and administrating learning management systems (MedSIS), records management systems, and other database systems as needed
  • Expert in relational databases and ability to develop, test, and use SQL to query and combine small to medium sized databases
  • A demonstrated ability to independently collaborate and train with other support staff and faculty members in translating technical knowledge into easy to use processes
  • Ability to solve complex problems and coordinate activities with a team of colleagues

Preferred Qualifications

  • Experience with establishing and maintaining education and health data structure and process flows
  • Experience with development in multiple programming languages (e.g., Java, Google App Script, Java Script, php, node.js)
  • Demonstrated ability to collaborate in high-pace medical education environment
  • Ability to quickly analyze data using Excel, R, Tableau, or customized programming
  • Good written and verbal communication skills are required
  • Ability to organize and implement multiple projects of varying scope and priorities
  • Excellent interpersonal skills, writing and public communication skills for considerable interaction with constituents
