Position Summary:
Responsible for security administration of Finance and Student Accounts Receivable system.  Responsible for the annual implementation of the tuition tax receipt upgrade as well as special projects involving the integration of data to finance and student accounts receivable. Responsible for updates to AR training courses.  Position supports the unit through expert understanding of all areas impacting the A/R system, including the rules of fee assessment and the rules for setting up courses.
Primary Responsibilities:

  • Security Administration:  Maintains Banner security classes for Finance and Student Accounts Receivable and monitors enrolments and coordinates access to systems.  Requests/modifies new classes and roles when necessary. Performs periodic audit of users to determine continued need for access. 
  • Duplicate Number corrections: Assesses and corrects duplicate number cases that occur involving Accounts Receivable and coordinates actions with other student system coordinators.
  • Annual Tuition Tax Receipt Upgrade: Oversees the timeline of the annual upgrade and implementation of the tuition tax receipt module,  reviewing/validating the set-up of all the control forms in the module. Performs testing of upgraded module and creates/runs reports to identify potential errors.  Ensures webpages and Minerva help text reflect any new legislation.
  • Government reporting: Coordinates the comprehensive fee report to Minstère de l'Education of all non-tuition charges assessed to students by any part of the University through reviewing any new fees created throughout the year.
  • Student Account Transaction Data Resource for answering questions about transactions posted to finance ledgers.  Provides expert assistance with Accounts Receivable system. Manages chargebacks.
  • Fee Assessment: Assists in student fee assessment and registration practices.  Acts as a resource when issues arise with respect to unique registration situations or double program issues.
  • Year-end: Participates in year-end, particularly in the area of application of payments ensuring that balances rest as liabilities and receivable is correctly stated at the end of the year.  Responds to audit inquiries and may prepare closing journals when required.
  • Miscellaneous:  Works on A/R systems development projects as needed aimed at continuous improvement for both internal and external clients to provide new services.   Responds to email in the Student Accounts queue, disburses emergency loans when necessary.


Other Qualifying Skills and/or Abilities
Demonstrated ability to work in a PC environment using Word, Excel, Access, Powerpoint. High level of knowledge of enterprise software:  Banner Student, Finance, Admissions, and Housing modules.  Ability to use Crystal Reports.  Capacity to make independent decisions.  Demonstrated organizational skills and ability to multi-task in a high pressure environment.  Attention to detail and ability to prioritize and meet deadlines.  Demonstrated ability to interpret information received and respond effectively and efficiently through proven communication methods. Demonstrated ability to develop new analytical procedures and standards.  Must be service oriented. Excellent interpersonal skills.  Languages:   English and French, written and spoken.

Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level # 4 on a scale of 0-4.
