Compensation Range

Job Summary

UBC has embarked on a multi-year journey to transform its academic and administrative support processes and system environments for the entire UBC community. In November 2020, UBC successfully went live with its new HR and Finance implementation of Workday. The Integrated Renewal Program (IRP) is now focused on the journey to renew the Student information ecosystem, anchored by the implementation of Workday Student.

The Integrated Renewal Program—Student (IRP Student) vision is to transform the way UBC supports learning and research, and how UBC works, to create a cohesive, integrated, and enriched experience for students, staff, and faculty. This implementation will result in superior support for UBC students, a better user experience, a new set of tools, a new way of working, and improved reporting for informed decision-making. IRP Student will leverage the industry-leading cloud enterprise solution Workday to replace our current core Student administration systems with a new integrated, user friendly, mobile-enabled platform.

This position will coordinate communications and training activities and will work closely with the Communications and Engagement and Training teams.  


Organizational Status

This position reports to Senior Manager, Communications + Media Relations. 
Work Performed

Project Coordination Activities 

  • Develops various smartsheets and reporting dashboards
  • Conducts research and leverages new and/or existing technologies to enable documented knowledge to be stored and retrieved easily by end users.
  • Assists in the facilitation of the call-in sessions and responds to training related topics/questions
  • Maintains C+E team project coordination documents
  • Develops and maintains the quality of materials and proofreads content and messages
  • Communications + Engagement Activities
  • Contributes to communications strategies and plans as it relates to training and engagement activities as well as TCM as a whole
  • Develops communication and training content and materials such including training materials, presentations, reports, blog posts, social media content, and digital signage content and creation of promotional print pieces and toolkits
  • Assists in pre/post-event/engagement activities including creating communications content, reporting and assisting in the development of program assessment and evaluation tools  
  • Video production coordination
  • Develops and manages webpage architecture, design, layout, content, and revisions
  • Works with Web Services to implement migration of IRP Student Website to Drupal 9
  • Manages requests to UBC webservices relating to the IRP Student website
  • Develops website analytics reports, analyzes information and makes recommendations for improvements
  • Creates and updates IRP Student web content, in a timely, consistent, efficient manner.
  • Ensures adherence to IRP Student web governance plan, upholding the review/approval cycles required to update and refresh content and visual aspects. Other duties as required


Consequence of Error/Judgement

Decisions and actions taken by this position could have a direct impact on how the community views the IRP Student program. Errors in judgment, poor communication or failure to act decisively could have a detrimental effect and adversely impact the IRP Student Program and negatively impact the UBC community support for the program.  
  
Inappropriate, ineffectual or poor messaging in communication, poorly designed communication media could be damaging to revenue, recruitment, fundraising, member relations and public relations. The incumbent will be closely involved in the public aspects of IRP Student's operation. 
 


Supervision Received

Reports to the Manager, Communications & Engagement, with functional accountability to the TCM Training Lead. Works with oversight and support from members of the Communications and Engagement and Training teams. Receives instructions on unusual problems or on matters which depart significantly from established policy and procedures. May receive functional direction from senior TCM team members.  
  
Work is reviewed in terms of achievement of high professional standards in the delivery of communication services.

Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

Experience with project management practices an asset.  

Experience working in a university environment considered an asset. 

Experience working with UBC learning technologies WPL, Canvas considered an asset 

Experience with workshop facilitation/moderation virtual or in-person considered an asset 

Experience with writing technical documentation considered an asset 

Demonstrated success in the coordination of communication materials including PowerPoint presentations, key messages, blog post, social media content, speaking notes, newsletters and posters.  

Demonstrated experience in website design, user experience, and web content development.  

Demonstrated knowledge of and ability with Drupal 

Demonstrated ability to write for various audiences and adapt writing style for various purposes.   

Demonstrated ability to learn new technology and platforms and gain proficiency in a working environment 

Ability to work effectively and diplomatically within a team environment 

Effective knowledge and working experience of Word, Excel, PowerPoint 

Ability to adapt to change and work under time pressure considered an asset 

Familiarity with basic principles of adult education considered an asset 

Ability to communicate effectively with excellent oral and written communication skills
