Clerical Assistant Little Pine First Nation & Poundmaker Cree Nation

The main objective of the néhiyaw wîcihitowin (Cree helping Cree) project to decrease the current rates of Indigenous incarceration and to mitigate recidivism via culturally adapted interventions for youth and their families in in the Little Pine and Poundmaker First Nation, Saskatchewan. Ultimately, it is also to create and sustain safer communities for both Indigenous and non-Indigenous peoples.

Primary Purpose: The primary role of the on-site clerical assistant is to be in the office Monday to Friday from 9 a.m. – 4 p.m to support the project.

Nature of Work:  Reporting to the Principle Investigator, Holly Graham, the successful candidate will provide day to day support to the Project Coordinator.   The duties are to ensure that all supplies are available for programming in both communities, assist with administering and gathering evaluation forms, keep accurate inventory of all supplies, office organization, order food weekly for the program and meal prep 3 nights a week (use crock pot for soups with potatoes, vegetables and meat), create posters for programming, create content for Facebook page to be checked by off-site assistant and/or Principle Investigator.  You will also assist with requests by Project Coordinator and Principle Investigator.  

Typical Duties and Accountabilities

  • General reception duties (open office at 9am, answer phones, greet visitors, prepare social media posters and posts, filing etc.).
  • Work with the Wellness Workers, Elders, Project Coordinator, Off-site Administrator, and the Principal Investigator to support the néhiyaw wîcihitowin project culturally adapted programming in each community. 
  • Follow up with all requests made by Project Coordinator and Principal Investigator.
  • Punctuality and responding in a timely manner (1 hour during program hours) to content in WhatsApp – post in each position. 
  • Forward all office maintenance request immediately to the Project Coordinator and Principal Investigator. 
  • Gather supplies from sea-container for weekly programming. Wellness workers are to request supplies 1 week in advance of programming. 
  • Prepare and submit grocery order and schedule pick-up once per week (Mondays). Project vehicle is to be used for all work errands. 
  • Take minutes for all virtual team meetings, on-site team meetings and interagency meetings. Submit minutes to off-site administrator and Principal Investigator on the same day except for the interagency meeting minutes that are to be sent the next day. 
  • Monthly inventory of supplies and weekly inventory for food. 
  • Meal plan two months in advance and meal prep nutritious meals for weekly programming. 
  • Collect stats (age, gender) and summary of the psycho education provided (self-esteem, healthy boundaries, healthy communication, healthy relationships, identity, etc.) and cultural teaching provided from each group (Family night, AA, Youth night) and special event (annual cultural family camp, hockey camp, land-based trips, annual Restorative Justice conference). 
  • Print out evaluation forms for Project Coordinator and Wellness Workers prior to programs and events. 
  • Honorarium information collection in full (SIN, Birthdate, address, phone number etc). 
  • Ensure all honorarium information forwarded to off-site coordinator on the same day of event. 
  • Ensure all communication received (Facebook, telephone calls, email, verbal request, texts) are forwarded to Project Coordinator and Off-Site Coordinator. 
  • All booking requests and changes in working assignment (outside requests) forwarded to Project Coordinator and off-site Coordinator for approval two weeks in advance. 
  • Participate in all training scheduled by the Principal Investigator of this project. 
  • Complete leave of absence requests 2 weeks in advance and submit to Project Coordinator and Principal Investigator 
  • Be a positive role model and encourage all community members to obtain Grade 12 and pursue vocation of interest. 
  • This position requires a high level of confidentiality. Information about participants cannot be shared outside of the project, with prior employees or on social media.  
  • The successful candidate must be willing to work a later shift on program days.

Qualifications

Education: Minimum Grade 12 and relevant work experience.

Licenses: Must show proof of a valid driver's license

Skills:  

  • Fluent in Cree is preferred.
  • Proficient oral and written communication skills; daily documentation is required.
  • Knowledge and practice of Cree culture or the willingness to learn and practice the Cree culture.
  • No criminal record
  • Ability to work effectively with First Nations youth & leadership.
  • Ability to be flexible, work in a changing environment, and adapt programming to the context of the situation.
  • Ability to work well with others, notably with other staff and team members.
  • Ability to work independently when necessary.
  • Ability to work effectively with technology (prepare agendas, assist with report writing) for meetings and program implementation.
  • Participate in all training scheduled by the PI of this project.
