Faculty of Science

Position Summary:

The Associate Director of IT, in collaboration with the Faculty Advisory Committee and Senior Administration, plays a leadership role in defining and managing the Faculty’s new IT organization. The Associate Director of IT establishes and improves IT governance policies that align with University and Faculty strategic priorities while ensuring adherence to industry best practices. The Associate Director of IT manages, and fosters the professional development, of a team of multi-disciplined IT professionals and technicians who provide ongoing technical support to a wide range of teaching, research and administrative activities across the Faculty of Science’s departments, units and inter-faculty (research) institutes.

Primary Responsibilities:

Service Delivery

  • Actively manage and be accountable for IT service delivery to academic, administrative and research stakeholders.

  • Build upon an initial implementation of ITIL based concepts and tools; mentor team members to expand their level of comfort and familiarity with IT governance processes.

  • Develop and implement KPIs to measure service delivery effectiveness and stakeholder satisfaction.

  • Build synergies with Central IT and other external units to promote collaboration.

  • Establish procedures for improving the quality of the Faculty’s hardware and software inventory.

Management and Team Building

  • Responsible for the direct supervision, professional development and performance management of all Faculty IT staff. This includes setting team goals and objectives, implementing team-building strategies, evaluating individual and team productivity, recognizing and rewarding staff achievement, and producing performance improvement plans if needed. Also responsible for hiring and training new staff.

  • Manage the workload of IT staff (delegate tasks, ensure efficiency, balance of work, continuity, priorities, vacations, etc.) to attain organizational effectiveness. Identify and resolve issues and risks.

  • Promote knowledge sharing, documentation, and mentoring among team members to ensure resilient support coverage across all departments and technical domains.

  • Build professional development plans for team members to ensure sufficient depth and breadth of knowledge across all areas of support (ex: operating systems, networking, virtualization, end-user computing, security, data protection, cloud services, etc.)

  • Nurture close working relationships with departmental stakeholders while maintaining a metrics-based service delivery model.

Strategic Vision

  • Establish a strategic roadmap for IT services within the Faculty that anticipates and addresses the needs of stakeholders and the evolution of technological solutions. Collaborate with Central IT to ensure the Faculty’s direction aligns with the strategic focus areas of the university.

  • Develop business cases to justify investments in infrastructure and human resources.

  • Oversee and work closely with the Directors of various institutes to enhance the IT infrastructure of the institutes that are inter-faculty related. This includes the Computational & Data Systems Institute (established 2021) and the future Earth Systems Institute (2023), both of which are heavy in terms of IT needs, supporting researchers from Science, Medicine, Engineering, Desautels, Music and Arts (to name a few faculties involved)

  • Support researchers with their diverse and unique technological needs relating to the institutes.

Technological Leadership

  • Assess the technological needs of the Faculty of Science’s departments and identify opportunities for shared services and resources.

  • Continuously evaluate emerging technologies and their potential benefits to the Faculty’s academic and research communities.

  • Promote cybersecurity, data protection, and safe computing practices across the entire Faculty of Science community.

  • Raise awareness of existing local and centralized service offerings through presentations, town halls, departmental meetings, documentation, and other communications channels.

  • Work with external stakeholders to streamline and clarify processes related to procurement, technology selection, cloud service usage, data protection, evergreening, and other governance policies.

Other Qualifying Skills and/or Abilities:

  • Technical Knowledge & Skills required: Windows servers; Linux/ Unix servers/ operating systems; Windows and Mac - Desktops and Laptops; Virtualization; Desktop Images; GIS.

  • Demonstrated ability to manage and lead teams.

  • Versatility, ability to act at both strategic and operational levels.

  • Excellent communication, writing, documentation, and planning skills.

  • Self-motivated with the ability to work well with multiple, cross-functional teams.

  • Good team player with a strong focus on delivering results to meet the business needs.

  • Ability to function with an exceptional level of accuracy, strategic judgment, and efficiency.

  • Ability to troubleshoot problems, recommend solutions and improvements.

  • Quality-oriented and able to meet deadlines, aptitude for clear and concise thinking, flexible and able to adapt to change.

  • High-level knowledge and proficiency in project management methodologies and tools, resource management practices, and change management techniques.

  • Demonstrated ability to work with multiple stakeholders and prioritize a wide range of responsibilities.

  • Fluent knowledge of English and French, both written and spoken: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 on a scale of 0-4.
