Founded in 1910 and located in Calgary, Alberta, Canada, Mount Royal University grew into a vibrant college in the 1930s and became a mid-sized university in 2009. The Administrative Assistant position in the School of Nursing & Midwifery (SoNM) primarily supports the Recruitment and Hiring within the SoNM. This includes assistance in interview coordination, contract generation and tracking, Continuing Term Appointments, SICH tracking and sessional instructor Pre-Practice Requirements (PPRs) tracking and communications as well as various payments and tracking of such. This position supports SoNM website updates and provides administrative support for activities in the SoNM as needed. This position will work closely with the Recruiter in supporting the hiring needs of the SoNM.


Responsibilities
  • Coordinate interviews in the hiring of new sessional faculty; implement effective communications
  • Receive contract faculty’s expression of interest to teach in upcoming terms.
  • In collaboration with the Recruiter, generate ordered list of sessional faculty to be offered for each course; according to MRFA Collective Agreement seniority determinants 
  • Generation of contracts for clinical and lab placements; efficient tracking; communications with Payroll
  • Assistance with Continuing Term Appointments; tracking of SICH; revisions to contracts as needed
  • Maintain current Contract Faculty contact information.
  • Substitution payments and tracking
  • Facilitating general SoNM payments as needed 
  • Collect and track PPRs for sessional instructors
  • Administrative Assistance with SoNM committees related to hiring and reappointment; schedule meetings, agenda's and minutes 
  • Assisting with sessional faculty Peer Evaluations; tracking and information gathering
  • Website updates including faculty and staff biographies and changing information; participation in website training as needed to remain current

Qualifications:
  • High School with some additional course work required
  • Minimum 3 - 5 years in an administrative office role 
  • Strong customer service focus: ability to maintain effective relations with all internal stakeholders and potential employees
  • Advanced communication skills
  • Ability to manage multiple and changing deadlines in a fast-paced environment
  • Excellent organizational skills
  • Team player; excellent inter-personal skills 
  • Previous understanding of recruitment processes is an asset
  • Proficient in MS office, Google suite
  • Banner, ARGOS knowledge is an asset

Salary:                           $45.992.00 - $58,244.00 per annum (Subject to retroactive increase based on Gain Sharing Conditions as per the Government of Alberta)
