Position Details
Career Bridge: Centre for Work-integrated Learning and Career Development, is currently seeking a full-time (continuing) Administrative Assistant II.
 
Combining academic programs, career services, and a My Experience Transcript Advisor, Career Bridge is a multifaceted team of experts and service providers working together to support WIL, EL and Career Development across campus.
 
Reporting to the Academic Director, Career Bridge: Centre for Work-Integrated Learning and Career Development, the successful candidate will provide a variety of services including:
 
  • Manage administrative flow processes: admissions to Co-op and Applied Studies programs, facilitating academic & program requirements and documentation
  • Database management and electronic record keeping (Orbis)
  • Manage Co-op job board: Processes postings, student admit applications, and job postings/closings
  • Process Co-op job interviews & work term Co-op employment offers 
  • Perform Co-op Work Term Registration & Send-Off Sessions 
  • Complete Co-op Work Permit process for International Students 
  • Administrative responsibility and accountability as the central point for records management and statistical data collection 
  • Responsibility to assist the Director and administrative team in grant applications and funding supports for students and industry partners as needed, and in completing renewal applications to maintain CEWIL Accreditation 
  • Stakeholder support (administrative support for students, staff, faculty, and industry partners); maintaining and supporting relationships with all stakeholder partners
  • Supports departmental meetings
  • Supports departmental events and initiatives including career fair, on-campus program recruitment activities, industry events, employer information sessions, etc.
  • Supports faculty and staff in program development activities; e.g., Indigenous Co-op initiatives, CEWIL involvement, Co-op Ambassadors, W2L (Work 2 Learn), and CKC (career Kickstart Living and Learning Cohort)
  • Assists with special ad hoc team and departmental projects as required

The University of Lethbridge is undertaking a job classification review for Alberta Union of Provincial Employees (AUPE) positions.  As such, the classification level currently assigned for this position may be adjusted as a result of this project.
Position Qualifications
The successful candidate will possess excellent professional communication and interpersonal skills, and the ability to work creatively and collaboratively as part of a team. Ability to manage multiple priorities is considered an asset. Critical qualities for this position include a positive attitude, the ability to take initiative to support departmental outcomes, and the ability to inspire confidence and enthusiasm in our stakeholder partners. The successful candidate will also have demonstrated skills in organization, leadership, planning, and attention to detail. Multi-tasking and using discretion, time management, and prioritizing are crucial as multiple demands are simultaneously being made by multiple stakeholders during busy times. The complex nature of managing and keeping track of multiple important stakeholder demands, including ranking and satisfying requests, requires constant conscientious effort.
 
The successful candidate will have a strong commitment to services for students and the ability to maintain confidentiality in a complex environment. We are looking for someone with an Office Administration Diploma, or equivalent, with a minimum of 1 year of experience working in an administrative position preferably. A university degree is preferred, but not required.
 
Preference given to candidates with a background in human resources, career development, and/or career/employment support services. Post-secondary experience will be considered an asset. An equivalent combination of education and experience would be considered.
Starting Salary Range (at 1.0 FTE) $4,576.00 - $5,114.00 monthly
Full Salary Range (at 1.0 FTE) $4,576.00 - $5,652.00 monthly (AUPE - Grade 9)
