Your working place:


The Department of Astrophysics offers a varied and international working environment with currently about 80 scientific staff and seven colleagues in administration and IT. We are looking for a motivated and competent Organisational Assistant. Since our scientists come from more than 20 different countries, English and German are the working languages. We are the largest astronomy institute in Austria and involved in numerous international collaborations. The working place, the University Observatory, is located in the 18th district of Vienna in the middle of the natural monument Observatory Park.

The position is vacant for the period of absence of a member of staff (until 31 Mar 2025). There might be an option - by mutual agreement - to extend the duration of the employment.


Your future tasks:


Your tasks include - under the direction of the Institute Coordinator - in particular:
•    Support in organization of conferences, congresses, meetings
•    Travel management
•    Budget management
•    Hiring process and staff administration
•    Support of scientific staff in administrative matters
•    Support in public relations including website management
•    Administration of third-party funded projects


Your profile:


"Matura" respectively subject-relevant "Fachmatura" and/or proof of several years of relevant professional experience.
In particular of relevance are:
•    Strong organisational and coordination skills
•    High level of service and customer orientation
•    High level of written and verbal expression
•    Very good knowledge of German and very good knowledge of English, both written and spoken
•    Extensive IT user skills (MS Office)
•    Ability to work in a team
•    Independent and solution-oriented work style

Additionally:
•    Experience with public relations, conference organization & support
•    Knowledge of university structures and processes resp. experience in university administration + university IT applications (i3v, SAP)
•    Experience in budget management, personnel administration, and/or administration of third party funded projects
•    Experience in website administration (CMS, preferably Typo3)
