About the position

The Work Integrated Learning (WIL) administration officer shares responsibility for supporting first class field education and experiences for GUSS students across all programs, modes and locations. The incumbent will provide timely and accurate information, advice and service to both internal and external clients of the School of Global, Urban and Social Studies.

The incumbent will have close working relationships with the Associate Deans, Program Managers, professional and academic staff.

About You

As a Work Integrated Learning (WIL) administration officer, your work would be centered around data management including cross checking records in InPlace, CRM and using our Smartsheets. You may also be required to engage with students through enquiry handling and select WIL academics within the School.

Key Responsibilities

•    Provide administrative support to the full range of student work integrated learning options available to GUSS students across all programs, models and locations.
•    Maintain WIL data by accurately recording student activity in required systems and ensure workplace compliance requirements are met by participants.
•    Participate as an effective and flexible member of the team and contribute to a culture of collaboration and continuous improvement through assisting with streamlining processes, communication lines and support services, and participating in key RMIT forums as required;
•    Prepare a range of written communications that may require interpretation and advice on issues relating to University Policy and Procedure when it comes to WIL, referring more complex matters onto more senior members of the team as required.
•    Actively participate in School’s continuous improvement processes, identifying opportunities for improvement, providing feedback to relevant areas and contributing to the streamlining of academic service processes, communication lines and support services.
•    Maintain effective working relationships with all relevant stakeholders; use effective and appropriate communication in dealing with internal and external contacts.
 

Key Selection Criteria

1. Experience in working accurately with detailed information and providing high-level administrative support in a WIL and/or mobility environment within a university or similar large and complex organisation.

2. Demonstrated experience and expertise in the provision of quality customer service, including sound     knowledge and consistent application of relevant. University policy and procedures and the ability to appropriate provide advice.

3. Well-developed interpersonal and problem-solving skills, with the ability to take the initiative in identifying and pursuing opportunities to improve existing practices and services.

4. Ability to build and maintain effective and productive relationships with a wide range of groups, both internal and external to the University.

5. Demonstrated high level of computer literacy including: word processing; presentation software; email; internet and electronic document management applications.

6.Proven ability to work effectively as a flexible team member committed to achieving own and work team goals and priorities, and to continuous improvement.

7. Ability to prioritise tasks and meet deadlines in a demanding environment.

Knowledge and understanding of the tertiary education sector.

Qualifications

A tertiary qualification in office practice or office management, and/or significant practical experience in an administrative role in a tertiary institution.
