About This Opportunity 

In this role, you will plan and implement a variety of university functions and events that enhance the profile and reputation of the University, including Vice-Chancellor functions, building openings, VIP visits and graduations.

You will support an ambitious annual community engagement and events program that enhances the profile and reputation of the University through strategic event and engagement programming management.

You will work under the leadership of the Senior Manager, Community and Events, reporting to the Principal Events Officer to support a range of UQ events and engagement activities.

Key responsibilities will include: 

  • Provide professional event management support and advice to the Office of the Vice-Chancellor, Vice-President (Advancement and Community Engagement), and UQ staff on the planning and management of key UQ events and activities.

  • Develop and manage effective and collaborative relationships with external stakeholders and suppliers, and a portfolio of university partners.

  • Provide advice, consult with other organisational units and support special initiatives to integrate engagement principles and protocols into UQ's business and events management practices.

  • Plan, organise and implement special events and external relations activities (e.g., alumni events, significant ceremonies, award activities and receptions) while reporting on all event deliverables, including gathering feedback on effectiveness and value.

  • Undertake detailed planning and organisation of university functions including venue selection, guest lists, invitations and programs, catering, visitor reception, audio-visual requirements, seating and general observance of event protocols.

Administration

  • Prepare correspondence and invitations to be issued on behalf of the UQ Events team and the university.

  • Compile and maintain accurate databases, ensuring all data from events is loaded into the CRM, in accordance with privacy policies.

  • Meet all internal and external compliance requirements relating to the safe and effective management of events, including the development of risk assessments and sustainable event practices.

  • Book, negotiate and supervise suppliers/contractors with due regard to UQ's procurement policies and targets; arrange travel and logistics specific to events and maintain effective working relationships.

  • Complete all event administration requirements including creating partner briefs, cost estimates, proposals, and full-event briefing packs.

  • Fulfil event reporting requirements and contribute to UQ Advancement Monthly Engagement Metrics and other internal and external reporting requirements.

  • Manage all event related expenses and budgets in consultation with the relevant budget holder, ensuring budgets are adhered to and best practice maintained at all times.

  • Provide post-event reporting for all events, to be shared with UQ partner / project team.

This role is subject to The University’s Code of Conduct .  

This is a full-time (100%), continuing position.

At HEW level 6, the full-time equivalent base salary will be in the range $88,099.39 - $94,512.08, plus a generous super allowance of up to 17%. The total FTE package will be up to $103,076.28  - $110,579.13 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.

About You  

  • A degree in event management or marketing/public relations or a related area plus substantial experience in event management OR an equivalent combination of training/education and experience is required.

  • Demonstrated experience in managing multiple projects and events in a fast-paced environment, including planning, administration, budgeting and risk management.

  • Proactive team member with the ability to work collaboratively, to prioritise work requirements, work autonomously when appropriate, consult appropriately and respond to direction as required.

  • Highly developed written and verbal communication skills with a strong client focus.

  • Ability to work with varied internal and external stakeholders, including senior executive staff.

  • Strong administration skills, including excellent attention to detail.

  • Commitment to innovation and continuous improvement.

  • Flexibility to work outside normal work hours.

  • Proficient in the use of Microsoft Office suite. Strong preference for experience with software and CRMs such as EventsAir, Raiser's Edge, Graduway and/or SalesForce.

  • A current Queensland driver's license.
