About This Opportunity  

We are looking for an agile and adaptable Project Officer, with strong coordination and time management skills combined with excellent communication skills, attention to detail and the ability to deliver outcomes in a high-pressure, time-critical environment. This position supports the delivery of projects by completing a range of activities including coordinating project communication, stakeholder engagements, project documentation, project financial administration, and other duties as required.

This position sits within the Portfolio Management Office, working with a team of Project Managers and Principal Project Officers to support the efficient delivery of built environment projects.

Duties and responsibilities include, but are not limited to:

  • Developing and maintaining project-related standard operating procedures and assurance of standards and logistics.

  • Coordinating the development and management of project documentation templates.

  • Organising and supporting the delivery of project-related activities, events, consultation activities and meetings.

  • Coordinating a range of administrative activities to support the project teams, including contractor access, fire isolations, security, works notices, keys, bank guarantees and generally providing overall support to the Project Delivery Team Project Managers

  • Liaising with internal and external stakeholders to maintain important relationships with clients

  • Undertaking complex data entry, retrieval, and document management.

  • Using project-management software and applications, including Aconex

  • Other duties as requested by the supervisor

This is a Full-time, Continuing position.  At HEW Level 5, the full-time equivalent base salary will be in the range of $77,396.47 to $86,029.78 plus a generous super allowance of up to 17% superannuation. The total FTE package will be in the range $90,553.87 – $100,654.84 per annum.  


About You

  • A degree or diploma in a relevant discipline with subsequent experience or an equivalent combination of relevant experience and/or education training.

  • Previous experience working as part of a project team or in a similar role would be highly advantageous.

  • Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).

  • Experience using Microsoft Power tools and Power BI would be advantageous.

  • Project Management and multi-tasking experience, with an agile and flexible approach.

  • Excellent oral, written and stakeholder engagement communication skills.

  • ​Experience using project management programs such as Aconex or the ability to quickly learn these skills.

  • Demonstrated skills in providing a high level of customer service, including effective interpersonal skills.

  • Effective time management and problem solving skills.
