About This Opportunity 

We are seeking an experienced, proactive and enthusiastic Principal Executive Administration Coordinator capable of delivering exceptional administrative and business functions the Medical School Executive Office. The successful candidate will be able to anticipate, initiate and manage administrative activities and be adept at working both autonomously and as part of a high performing team. The role requires exceptional communication and organisational skills, an impeccable attention to detail and the ability to prioritise activities and tasks to meet deadlines.

Key responsibilities will include: 

  • Supervises and coordinates the efficient and effective functioning of the administrative processes and procedures for the Medical School Executive Office.

  • Provide support to the Deputy Head of School, Student Wellbeing and Success through the coordination of aspects of the school function, including student support, wellbeing, career advice, and the implementation and evaluation of strategic initiatives.

  • Works autonomously to anticipate, initiate and manage administrative and which support the Medical School Executive Office.

  • Leads the planning and development of internal projects, including coordinating the resources as required for project implementation and defining the project scope and objectives, in line with corresponding stakeholders and technical feasibility.

This is a full-time (100%), fixed-term position through to 14th April 2025

At HEW level 7, the full-time equivalent base salary will be in the range $96,649 - $105,244 plus a generous super allowance of up to 17%. The total FTE package will be up to $113,080 - $123,136 annually. 

As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.


About You  

  • A degree with at least four (4) years subsequent relevant experience; or extensive experience and management expertise in administrative fields; or an equivalent combination of relevant experience and/or education/training

  • Experience in staff supervision and the ability to contribute to a positive workplace culture that is focused on high quality customer service.

  • The ability to prioritise workloads, work independently, problem solve and meet deadlines.

  • Excellent written and verbal communication skills with the ability to liaise with a diverse range of stakeholders.

  • A high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, and Outlook)

  • Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
