About This Opportunity 

We are seeking a motivated and organised Office Coordinator to support the effective and efficient operation of the recently established ARC Centre of Excellence for Green Electrochemical Transformation of Carbon Dioxide (GETCO2)​.

Reporting to the Centre's Deputy Director, Strategy and Operations, the Office Coordinator works closely with a small team of professional staff to ensure the smooth, effective and efficient operation of the Centre. The role also delivers a high level of administrative support and customer service support to key clients and stakeholders of the Centre including partner universities and industry organisations.

Key responsibilities will include: 

  • Coordinates space, resources, equipment and facilities to maximise office operations and outcomes.

  • Designs and delivers a range of administrative/business processes and activities in consultation with relevant staff, to meet the identified business requirements. 

  • Plans and implements high-quality administrative systems, standard operating procedures and office protocols.

  • Responds to complex or non-routine inquiries which may require interpreting policy, procedures and entitlements as relevant to the role.

  • Liaises with internal and external stakeholders to build and maintain relationships which support the operational objectives of the function/department.

  • Undertakes financial administration responsibilities and provides advice, including exercising the appropriate financial delegation in accordance with University policy and procedures.

  • Coordinates travel arrangements, including trip planning; travel administration and post-travel reconciliation.

  • Coordinates and provides high level administrative support to a range of administrative and academic committees.

  • Supports the successful delivery of events and other engagement activities.

  • Undertakes complex data entry, retrieval, compilation, visualization and management processes.

  • Coordinates and/or leads projects within the office/function/department.

  • Maintains project records, including reports and contracting documentation.

This is a full-time (100%), fixed term position for up to 3 years at an HEW level 6.

The full-time equivalent base salary will be in the range $86,371.95- $92,658.90, plus a generous super allowance of up to 17%. The total FTE package will be up to $101,055.18 - $108,410.91 annually. As this role is covered by an Enterprise Agreement, you will also receive regular remuneration increases – at least once a year.

About You

Candidates require highly effective administration, coordination and interpersonal communication skills and demonstrate a commitment to providing a high level of customer service.

  • A degree with subsequent relevant experience in technical or administrative fields.

  • Demonstrated experience with high level of administrative support and customer service support to key clients and stakeholders.

  • Well-developed interpersonal skills, including the ability to communicate effectively, handle sensitive and confidential matters, negotiate effective outcomes and work effectively as a member of a high performing team.

  • Highly developed organisational skills and demonstrated ability to work autonomously, prioritise work to meet competing deadlines and work with a high level of accuracy and attention to detail.

  • High level of computer proficiency and digital literacy skills including Microsoft software, databases, websites and social media platforms.

  • Demonstrated ability to work co-operatively and flexibly in a small team environment, with a commitment to the delivery of excellent customer service.

  • Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
