The Finance and Administration Officer is responsible for providing effective and efficient financial project management support and administrative and office management services to the UNSW node of CQC2 T and in support of the Chief Operating Officer to coordinate whole of Centre projects.

The ARC Centre for Excellence for Quantum Computation and Communication Technology (CQC2 T) is headquartered at UNSW and, being the lead institution, funds and administers the other 6 national nodes – University of Melbourne, Australian National University (ANU), University of Queensland, Griffith University, RMIT and the University of Technology Sydney.


About the role

  • $96k - $103k plus 17% Superannuation and annual leave loading
  • Fixed Term – to December 31, 2025
  • Full-time (35 hours per week)

This role reports to the Chief Operations Officer and has no direct reports. 

Specific responsibilities for this role include: 

  • Interpret, apply and advise on UNSW and faculty policies, procedures, guidelines and processes, implementing best-practice business processes and training and supporting Centre staff to ensure compliance.
  • Liaise with relevant UNSW business units (HR and GRS for salaries and scholarships), Science Faculty and School finance teams, and Buying Network, Accounts Payable and Accounts Receivable teams to source accurate information and resolve tasks.
  • Utilise NSS Financial and HR modules to provide financial data and information and develop spreadsheets for the compilation of the financial statements and reports, ensuring all records are accurate and comply with UNSW policies, procedures and guidelines.
  • Prepare financial expenditure statements and reports. Monitor, analyse and investigate these reports, advising relevant program managers regarding any inconsistencies, budget variances (period and year-to-date), allocation of expenses, advice on UNSW policy and corrective action as required.
  • Manage purchase orders, raise invoices, reconcile financial transactions, manage Centre’s credit cards, register assets and track relevant financial information.
  • Provide guidance on UNSW preferred suppliers, ensure compliance with the UNSW procurement policies and procedures and establish new suppliers where required.
  • Take ownership of office management tasks such as ordering of office supplies, organising shipments for Centre staff and students, parcel collection and distribution.
  • Assist COO where required with coordination and management of Centre events such as workshops, conferences, seminars, Committee meetings and other events/activities as may arise as directed by the COO.

To be successful in this role you will have:

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Excellent time management, office management and organisational skills, and the ability to work well under pressure and manage multiple tasks with competing deadlines.
  • Demonstrated project management support experience, including delivering projects within agreed timeframes and budget.
  • Highly advanced interpersonal, written and oral communication skills, including the ability to communicate with and influence diverse internal and external stakeholders.
  • Highly proficient computer literacy with excellent skills in Microsoft Office applications and an interest in continuous learning of new technologies as they become relevant to the role.
  • Experience working on confidential and sensitive matters and demonstrated ability to exercise discretion and tact as required.
  • Demonstrated initiative, sound analytical and problem-solving skills and proven experience in business improvement activities.
  • Excellent organisational skills, with an ability to drive new initiatives and efficient work practices.
  • Excellent numeracy skills with the ability to understand and communicate financial information and monitor budgets.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
