Your role

The Events Project Assistant is tasked with supporting logistics for major events at RMIT University Vietnam's Hanoi Campus. This role primarily involves assisting the University Events team in organizing both in-person and hybrid events.

Report to: Events Manager

Key Accountabilities

  • Assist all aspects of event planning and organising, including venue selection, entertainment, transportation, lodging, and other logistical arrangements.

  • Liaise with vendors, negotiate contracts, and monitor the execution of services provided by decorators, audiovisual technicians, and other event suppliers.

  • Support in event setup, execution, and breakdown, coordinating with staff and volunteers as needed to ensure that all aspects of the event proceed according to plan.

  • Assist in delivering hybrid and virtual events at the Hanoi campus, including coordinating with service providers, technical crews on the day of the event.

  • Coordinate catering services for university events, meticulously planning and organizing to guarantee superior quality and service delivery.

  • Responsible for invitation management, chaperone, handling guest inquiries and complaints, coordinating gifts, and conducting post-event guest surveys.

  • Maintain accurate records of expenses, invoices, and client preferences for future reference and improvement.

  • Work closely with the Saigon South Events team to maintain consistent delivery of all event requirements across both Saigon South and Hanoi campuses for university events.

Key Selection Criteria

  • Bachelor degree in relevant disciplines

  • Experience in event logistics support, procurement of event items and administration tasks.   

  • Well-developed interpersonal skills including coordination, liaison, and communication, both written and spoken, in English and Vietnamese, across a broad range of stakeholders 

  • Well-developed planning, organisational, analytical and problems solving skills, working independently, or as part of a team. 

  • Attention to detail, accuracy, and security when managing information. 

  • Demonstrated good knowledge and experience with computer software and platforms, including databases, spreadsheets, presentation software, apps and social media, and graphic design tools. 

  • Well-developed interpersonal skills, including negotiation, liaison and cross-cultural communication

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 5.5 (or equivalent Linguaskill 150).
