The School of Biological, Earth and Environmental Sciences (BEES) has 160 academics, researchers and professional staff, and over 130 higher degree research students. BEES has research strengths in Ecology and evolutionary biology, Geography, Climate Science, Environmental change, sustainability and resources, and Paleo-environments and Earth History.

The Administrator works with the School and Directors of these Centres to ensure effective administration and communication with centre members, and assist with planning, administration and reporting for the Centers.


About the role

  • $77K - $87K plus 17% Superannuation and annual leave loading
  • Fixed Term – 6 months
  • Full time (35 hours)

The role of Administrator reports to the School Manager and has no direct reports. 

Specific responsibilities for this role include:

  • Provide pro-active, practical and efficient administrative services to the School & Centre Directors, acting as the first point of contact for enquiries.
  • Liaise with External Relations to maintain the School & Centre’s websites and social media accounts.
  • Integrate information from various sources to draft documents and correspondence for the School & Centres including newsletters, email communications and general communications to staff and students.
  • Assist in the administration of any internal grants programs and mentoring programs.
  • Coordinate events such as the School & Centre’s seminar programs, special events, distinguished visits and workshops, and assist the BEES HDR Officer to organise postgraduate student events and workshops.
  • Assist Centre Directors with oversight of Centre related financials. Prepare and collate annual reporting for the Centre’s management committees and UNSW centre secretariat, as well as reporting for centre’s three yearly reviews.
  • Arrange various meetings such as Management Committee meetings and internal meetings, including the preparation and distribution of agendas, minute taking and recording minutes, and tracking action items.
  • Develop and maintain filing systems, databases and other administrative systems, and/or use existing UNSW databases.
  • Perform other appropriate duties and responsibilities as assigned by the School Manager.

  • Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

About the successful applicant

To be successful in this role you will have:

  • An Associate Diploma level qualification with at least 2 years subsequent experience or equivalent combination of qualifications or work experience.
  • Experience in providing administrative support in a research organisation or similar.
  • Strong time management, office management and organisational skills, ability to work well under pressure and manage multiple tasks with competing deadlines and delegate as required (if relevant).
  • Demonstrated experience in the use of office management software especially in the use of Microsoft office and web authoring tools.
  • Excellent customer service, interpersonal, written and oral communication skills.
  • Demonstrated experience in maintaining databases, and in the production of communication materials such as newsletters, flyer and email announcements.
  • An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
  • Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
