Reporting directly to the SMART Program Team Leader, the Administrative Assistant plays a pivotal role in ensuring the smooth organisation, delivery, and communication of outreach and engagement activities. This position provides essential office and administrative support, contributing to the effective functioning of the SMART Program.

Your responsibilities will include:

  • Identifying and booking suitable venues for SMART Program activities.
  • Assisting in coordinating travel arrangements for SMART staff, including accommodation, vehicles, approvals, travel briefings, and travel diaries.
  • Aiding in data collection and recording, encompassing activity information, expenditure, participant numbers, and demographics.
  • Supporting the processing of financial transactions.
  • Preparing resources such as drafting, printing, photocopying, and laminating.
  • Assisting in advertising and communicating SMART activities
  • Building relationships with SMART Program staff and stakeholders

This Fixed Term position is part time 2 days per week for 12 months at a HEW 4 Higher Education Level and will be based at Callaghan Campus (Awabakal and Worimi land), with opportunity for extension.

The SMART Program is dedicated to advancing STEM education (Science, Technology, Engineering, and Mathematics) through high-quality workshops and Science Shows. Operating within a dynamic and multifaceted environment, SMART collaborates with various stakeholders to deliver impactful outreach and engagement activities for school students across NSW, Victoria, and Queensland.
